Job Summary
We are seeking a highly organized and proactive Office Coordinator & Lead Health Care Aide (HCA) to oversee administrative operations and support healthcare services within our facility. This role combines office management responsibilities with leadership in healthcare assistance, ensuring smooth daily operations, effective team management, and exceptional client care. The ideal candidate will possess strong communication, organizational, and supervisory skills, along with experience in clerical and administrative functions.
Duties
- Supervise and coordinate daily office activities, including front desk operations, vendor management, and filing systems
- Manage human resources functions such as onboarding, training & development, and team management
- Oversee payroll processing and bookkeeping tasks using QuickBooks or similar software
- Handle phone systems with professional phone etiquette to address inquiries and direct calls efficiently
- Maintain organized records of client information, schedules, and administrative documentation
- Support healthcare staff by assisting with scheduling, documentation, and compliance requirements
- Facilitate communication between staff members, clients, vendors, and external partners to ensure seamless operations
- Assist in budgeting activities and monitor office supplies inventory to optimize resource allocation
- Provide leadership in training new staff members and fostering a collaborative team environment
Requirements
- Proven experience in office administration, clerical work, or administrative support roles
- Supervising or team management experience preferred
- Proficiency in QuickBooks, bookkeeping, payroll processing, and vendor management
- Strong organizational skills with attention to detail and accuracy in record keeping
- Excellent communication skills both verbal and written; professional phone etiquette essential
- Knowledge of human resources practices including onboarding and training & development
- Ability to manage multiple tasks efficiently within a fast-paced environment
- Prior healthcare or healthcare aide experience is a plus but not mandatory; relevant training will be provided for healthcare-related duties
- Demonstrated ability to work collaboratively as part of a team while maintaining a high level of professionalism
Pay: $22.50-$24.50 per hour
