Most office jobs are a seat in a system somebody else built. This one is different, and here is the honest version of why.
Nuvo Construction is a residential renovation and custom build company in St. Albert, and we are growing fast enough that the office has outgrown the way we have been running it. We are bringing our books in-house, and we are looking for one person to own the whole thing: the front door, the money, the payroll, and the record of all three. You will not be handed a process. You will build it, and it will be yours.
You will also see the work. Nuvo transforms homes, and this role attends inspections, which means you are on our sites, watching what the numbers you are reconciling actually paid for. It is a rare thing in an administrative job, and the people who love this kind of role love that part most.
What you will own
- The books. Full-cycle bookkeeping in QuickBooks Online, coded correctly, reconciled monthly, GST filed on time, month-end closed on schedule, and a clean set of books handed to our accountant at year end. Independently.
- Getting Nuvo paid. Releasing invoices on schedule, processing payments, and following up on what is outstanding on a set weekly rhythm rather than when someone remembers.
- Paying what Nuvo owes. Supplier and trade invoices reviewed and paid on terms, cheque runs prepared on schedule, nothing late and nothing a surprise.
- Payroll. Timesheets gathered and checked, and pay runs processed accurately and on schedule, every pay period without exception. Remittances, T4s and year end stay with our accountant, so what you own is the run itself, done right and done on time. You will also see what people here earn, and we expect that to stay with you.
- The front door. Every inquiry answered the same day it arrives, qualified, and the right ones booked in with our sales team. No lead sits in a voicemail box overnight.
- Permits and project paperwork, kept ahead of the crews, including attending inspections on site.
- The office itself, and administrative support to departments across the business. You will have real influence over how the office runs from the day you start, and once you have shown us your judgment, the call is yours.
- Your own numbers. Response times, leads booked, receivables, the state of the books. Reported to the owner monthly, without being asked.
What you need
- A bookkeeping certificate or diploma.
- A demonstrated history of managing a set of books independently, including bank and credit card reconciliations and month-end close. This is the requirement we will not bend on.
- Payroll processing experience, or clear evidence you can pick it up quickly. You run the pay runs; our accountant handles the remittances, T4s and year end.
- Three or more years in an administrative, office coordination or office management role.
- Working knowledge of QuickBooks Online. We also run JobTread, and we will train you on it.
- Strong written and spoken English, and the confidence to be the first voice a client hears.
- Construction, trades or home services experience, and any exposure to municipal permit applications, is an advantage but not a requirement.
Who this is right for, and who it is not
This is right for someone who is organized by instinct rather than by effort, who finishes what they start including the tedious parts, who is steady when the day gets busy, and who takes real satisfaction in books that reconcile and a client who feels looked after.
It is not right for someone who wants to invent something new every week, chase a commission, or build a department. This job rewards consistency, follow-through and care, and we would rather tell you that now than in month six.
Pay: $58,000.00-$70,000.00 per year
