Position: Office Administrator

Summary
Fritz-Alder Precast is looking for a mature, dependable Office Administrator who can ensure the office runs smoothly day to day. This role requires someone who is organized, professional, and solutions-oriented, someone who takes initiative, has a positive attitude, and enjoys supporting a busy team. You’ll be the engine keeping everything organized, tracked, and moving forward.
Responsibilities
- Act as the main point of contact for office-related inquiries and requests.
- Manage the front desk and greet visitors with professionalism and courtesy.
- Assist with meeting coordination and scheduling, managing the Boardroom, travel arrangements, and other administrative duties as assigned.
- Responsible for managing office and cleaning supplies, including regularly monitoring supply levels, identifying needs, placing timely orders, and sourcing items in a cost-effective manner.
- Provide administrative and operational support to senior managers across the company on a variety of tasks and projects
- Support finance functions
- Documenting meeting minutes with precision and ensuring sensitive information remains strictly confidential.
- Sort and distribute mail.
- Keep the office organized, running efficiently, and tidy at all times.
- Support marketing with employee events, such as team lunches and annual celebrations.
- Manage the general inquiries Outlook mailbox.
- Ensure all visitors follow safety protocols
- Coordinate third-party IT support, telecom systems and security systems to ensure consistent performance and timely issue resolution.
- Other duties as assigned
Qualifications
Education
- Secondary school diploma (high school) with strong evidence of advanced administrative competencies.
Experience
- Minimum 1-3 years of full-time office administration experience in a fast-paced environment.
- A team-oriented mindset with the ability to build good relationships across all levels of the company and help keep the office atmosphere collaborative and professional.
- Strong organizational skills with the ability to multi-task and prioritize.
- Excellent communication skills, both written and verbal.
- Expert proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong attention to detail
- A proactive, flexible mindset with a willingness to learn new tasks and skills.
