Job Overview
We are seeking a proactive and detail-oriented Junior Event Coordinator to join our dynamic team. This role offers an exciting opportunity to assist in planning and executing a variety of events, ensuring seamless experiences for clients and guests. The ideal candidate will possess strong organizational, communication, and customer service skills, with a passion for hospitality and event management. Previous experience in marketing, guest services, or the hospitality industry—such as restaurant or hotel experience—is highly desirable. This position is integral to delivering memorable events while supporting the overall success of our organization.
Responsibilities
Pre-Event Preparation
- Assist the Events Coordinator with preparation tasks in the lead-up to events, including printing and organizing event materials, preparing signage, setting up the bar station, and staging decor ahead of client drop-off windows
- Place orders for event supplies and rentals as directed by the Events Coordinator, and coordinate pickup or delivery as needed
- Support the Events Coordinator with any logistical or administrative tasks as directed in the days before an event
- Prepare the space on event day including furniture configuration to the confirmed layout, AV setup, and general presentation
- Follow the opening checklist to ensure everything is in order before clients or guests arrive
Client and Guest Experience
- Greet clients on arrival, walk them through the room layout, and demonstrate the tech setup including the presentation screen, sound system, and presentation remote
- Conduct space tours for prospective clients when the Events or Sales Coordinator is unavailable, presenting the space professionally and answering questions about our offerings
- Provide warm, professional guest hospitality throughout each event including greeting guests and managing coat service
- Keep the space tidy and well-presented during the event
On-Site Coordination
- Remain on-site or on call for the full duration of assigned events
- Act as the point of contact for clients during venue rental events you are running independently
- Troubleshoot minor AV or tech issues as they arise
- For events running past 10:00 PM, two team members are required on site until the last guest leaves and the space is fully closed. You may be scheduled to fulfill this requirement as part of your shift
Event Close
- Follow the closing checklist at the end of every event
- Complete the damage walkthrough and document any concerns before the client leaves where possible
- Check in with the client at close to gauge their experience and flag any feedback
- Reset the space to the standard layout, ready for the next booking
Communication and Administration
- Communicate with the Events Coordinator before and after every event via Slack
- Keep CRM updated with relevant notes from your events
- Flag any operational concerns, supply shortages, or client feedback promptly
- Place orders for event supplies and rentals as directed by the Events Coordinator, and coordinate pickup or delivery as needed
- Support the Events Coordinator with any logistical or administrative tasks as directed in the days before an event

Qualifications
- Previous experience in hospitality, restaurant service, or hotel operations is preferred.
- Excellent customer service skills with a friendly and professional demeanor.
- Strong time management skills to handle multiple projects simultaneously under tight deadlines.
- Effective communication skills (both verbal and written) to liaise confidently with clients and team members.
- Highly organized with keen attention to detail to ensure all aspects of event planning are executed flawlessly.
- Ability to work well under pressure in a fast-paced environment while maintaining a positive attitude. Pay: $16.00-$18.00 per hour
Work Location: In person
