Royal Ashburn Golf Club is looking for an organized, personable, and highly motivated Wedding & Events Manager to join our team. This position is responsible for coordinating weddings, social events, corporate functions, and other special events from the initial planning stages through to the successful execution of the event.
The ideal candidate is someone who thrives in a fast-paced environment, has exceptional attention to detail, enjoys working with people, and can confidently manage multiple events and clients at the same time. This is a hands-on role that requires strong communication, organization, and problem-solving skills.
Key Responsibilities
- Serve as the primary point of contact for assigned wedding and event clients.
- Coordinate weddings and events from the initial booking through event completion.
- Conduct client meetings, site tours, planning appointments, and event coordination meetings.
- Work closely with clients to understand their vision, preferences, and event requirements.
- Prepare and maintain event details, timelines, floor plans, guest counts, menus, seating arrangements, and other event documentation.
- Coordinate with clients, vendors, kitchen, banquet staff, management, and other departments to ensure seamless event execution.
- Assist clients with menu selections, room layouts, décor, timelines, ceremony details, and other event logistics.
- Manage event changes and last-minute requests while maintaining a high level of customer service.
- Ensure all event details are communicated accurately to the appropriate departments and staff.
- Oversee the setup and execution of weddings and events as required.
- Conduct event-day coordination and act as the main client contact throughout the event.
- Ensure events are executed according to Royal Ashburn standards and client expectations.
- Assist with event invoicing, deposits, final numbers, contracts, and other administrative requirements.
- Maintain strong relationships with clients and vendors.
- Follow up with clients following events to ensure satisfaction and encourage future business and referrals.
- Assist with sales efforts, open houses, bridal shows, and other promotional events.
- Support the overall sales and events team with additional duties as required.
Qualifications & Skills
- 2+ years of experience in wedding planning, event coordination, hospitality, banquet operations, or a related field.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Professional, friendly, and confident when working with clients.
- Ability to manage multiple events and deadlines simultaneously.
- Strong problem-solving and decision-making abilities.
- Ability to remain calm and professional in a fast-paced environment.
- Comfortable working evenings, weekends, and holidays as required by the event schedule.
- Strong computer skills and familiarity with Microsoft Office.
- Experience with event management or booking software is an asset.
- Golf course, country club, banquet facility, or venue experience is considered an asset.
- Food & beverage and banquet experience is an asset.
- Valid driver's license and reliable transportation is an asset.
