Accounting & Payroll Administrator

Position Summary
The Accounting & Payroll Administrator is responsible for managing the day-to-day financial operations of the organization, including accounts payable, accounts receivable, payroll administration, banking, and month-end accounting activities. This role ensures accurate financial records, timely vendor and customer transactions, regulatory compliance, and provides administrative support related to customs, benefits, and statutory remittances.
Key ResponsibilitiesAccounts Payable
● Process vendor invoices by matching purchase orders, packing slips, and receiving documentation.
● Verify invoice quantities, pricing, and approvals prior to processing.
● Code invoices to the appropriate general ledger accounts and vendor records.
● Enter invoices into the accounting system and post purchase journals.
● Generate vendor payments, including manual cheques when required, and coordinate cheque distribution for authorized signatures.
● Maintain organized accounts payable documentation and records.
● Coordinate routine office purchases as required.
Accounts Receivable
● Monitor customer accounts and track incoming payments.
● Process customer payments and maintain accurate receivable records.
● Respond to customer inquiries regarding account balances and payments.
Payroll & Benefits Administration
● Process bi-weekly payroll using Payworks.
● Maintain employee benefit enrollments, changes, and payroll deductions.
● Prepare payroll journals and ensure accurate posting to the general ledger.
Banking & Financial Administration
● Prepare and complete bank deposits.
● Perform monthly bank reconciliations and reconcile balances to the general ledger.
● Ensure the accuracy of financial records through regular account reconciliations.
Month-End Accounting
● Reconcile Accounts Payable and Accounts Receivable subledgers to the general ledger.
● Complete monthly financial reconciliations and supporting documentation.
● Assist with month-end closing activities and ensure deadlines are met.
Government Remittances & Compliance
● Prepare and remit statutory payments, including:
○ GST/HST
○ Workers' Compensation
○ Corporate tax remittances
○ Property tax remittances
○ Employee benefits (Blue Cross)
● Calculate and process commissions and customer/vendor rebates.
● Prepare building rent payments.
Customs & Administrative Support
● Respond to inquiries from vendors and customers.
● Coordinate documentation and requests related to customs, freight carriers, customs brokers, and CARM.
● Provide administrative support to ensure compliance with import/export requirements.
Qualifications
● Experience in accounts payable, accounts receivable, payroll, or general accounting.
● Knowledge of general accounting principles and month-end procedures.
● Experience with ERP/accounting software (AS400 experience is considered an asset).
● Experience processing payroll using Payworks or similar payroll software.
● Strong attention to detail and organizational skills.
● Ability to manage multiple priorities and meet recurring deadlines.
● Strong communication and customer service skills.
● Proficiency with Microsoft Office, particularly Excel.
Pay: $45,739.29-$65,000.00 per year
