Our client is seeking a highly skilled Senior Contract Administrator to support the Commercial Management team in the administration of construction-related contracts.
About the Role
Reporting to the Commercial Manager, the successful candidate will provide expert contract administration services throughout the post-award contract lifecycle, ensuring compliance with contractual requirements, mitigating commercial risk, and supporting successful project delivery.
Responsibilities
Contract Administration & Commercial Support
- Administer and coordinate post-award construction contract activities.
- Review, interpret, and analyze contract documents to ensure consistent application of contractual requirements and commercial strategies.
- Participate in project kick-off meetings, progress reviews, and stakeholder discussions to support contract compliance and project objectives.
- Provide guidance on contractual obligations, dispute resolution, liquidated damages, penalties, and other commercial matters.
- Escalate complex contractual issues and risks to the Commercial Manager as required.
Change Management & Claims Administration
- Analyze contract amendments, change orders, claims, and related commercial impacts.
- Develop and implement claims avoidance and mitigation strategies.
- Evaluate contractor submissions related to schedule impacts, delays, productivity, and pricing.
- Negotiate contract changes, claims settlements, and unit-price adjustments with contractors and stakeholders.
- Process Requests for Quotes (RFQs), contract amendments, directives, and supporting approval documentation.
Financial & Payment Administration
- Administer contract payment processes in accordance with approved contract terms.
- Review and validate contractor invoices, statutory holdbacks, final payments, back charges, and set-offs.
- Monitor contract allowances and contingencies and recommend adjustments where required.
- Prepare cost estimates for labour, materials, and equipment to support commercial evaluations and negotiations.
Contract Monitoring & Reporting
- Maintain accurate contract records within the Contract Management System (CMS), including correspondence, amendments, notices, payment certificates, and claims documentation.
- Track contract performance and progress, providing regular status updates to project teams and management.
- Support performance reviews and participate in discussions related to contractor performance concerns.
- Coordinate contract close-out activities and documentation.
Procurement & Commercial Documentation
Assist in the preparation of commercial procurement documents, including:
- Requests for Proposals (RFPs)
- Requests for Bids (RFBs)
- Requests for Services (RFSs)
- Negotiated Requests for Proposals (NRFPs)
- Requests for Information (RFIs)
- Notices of Intent (NOIs)
- Pre-qualification documents
- Contract documentation and special commercial conditions
- Support additional commercial management initiatives as assigned.
- Ensure all assigned performance and service delivery KPIs are achieved.
Qualifications
- University degree or college diploma in Construction Management, Engineering, Quantity Surveying, Business, or a related discipline, or an equivalent combination of education and experience.
- Minimum 3 years of experience in contract administration, procurement, commercial management, or construction contract management within the public or private sector.
- Strong understanding of construction contract administration, contract changes, scheduling methodologies, delays, and claims management.
- Experience preparing quantity take-offs and cost estimates from construction drawings.
- Knowledge of the Ontario Construction Act and associated payment and holdback requirements.
- Knowledge of construction practices, codes, regulations, and industry standards.
- Strong analytical, organizational, problem-solving, and communication skills.
- Demonstrated ability to manage multiple priorities and work independently with minimal supervision.
- Effective negotiation and stakeholder management skills.
- Proficiency with Microsoft Office applications and contract management systems.
- Understanding of engineered products, construction services, procurement processes, and commercial contracting principles.
- Ability to acquire and apply knowledge of the Ontario Human Rights Code, accessibility legislation, and accommodation requirements.
Preferred Skills
- Certified Construction Contract Administrator (CCCA) designation.
- Membership with the Royal Institution of Chartered Surveyors (RICS) or a related professional designation.
- Additional experience supporting complex infrastructure, transit, engineering, or construction projects.
Pay: $65.00-$90.00 per hour
