We are a family medicine clinic in Brampton seeking an experienced, reliable, and organized Medical Office Administrator / Medical Receptionist to join our team.
The ideal candidate is personable, detail-oriented, comfortable working independently, and experienced in a primary care setting. Experience with Oscar EMR, PHLEBOTOMY and OHIP billing is strongly preferred.
Key Responsibilities
The successful candidate will be responsible for supporting the day-to-day operations of the clinic, including:
- Answering phones and responding to patient inquiries in a professional and compassionate manner
- Booking, confirming, cancelling, and rescheduling patient appointments
- Managing the physician’s clinic schedule and helping maintain patient flow
- Checking patients in and updating demographic information
- Handling incoming faxes, referrals, forms, reports, and other administrative tasks
- Using Oscar EMR to manage patient charts, appointments, messages, and documentation
- Responsible for daily duties as Phlebotomist too.
- Completing and submitting OHIP billing, including reviewing claims, correcting rejections, and tracking submissions
- Assisting with uninsured services, forms, and private billing where applicable
- Maintaining vaccine fridge logs and ensuring appropriate vaccine storage procedures are followed
- Ordering office supplies, vaccines, medical equipment, and other necessary clinic materials
- Coordinating with pharmacies, specialists, laboratories, hospitals, and other healthcare providers
- Supporting general office organization and workflow improvement
- Maintaining patient confidentiality and adhering to PHIPA/privacy requirements
Qualifications
- Previous experience as a medical receptionist, medical office administrator, or medical administrative assistant
- Experience in a family medicine or primary care clinic strongly preferred
- Experience with Oscar EMR strongly preferred
- Experience with OHIP billing strongly preferred
- Strong communication and interpersonal skills
- Excellent organization and attention to detail
- Ability to multitask in a busy clinical environment
- Comfortable using computers, EMRs, fax/eFax systems, phones, and office software
- Professional, dependable, and able to work both independently and as part of a team
- Knowledge of vaccine fridge maintenance, inventory, and office supply ordering is an asset
Hours of Work
The clinic schedule is generally:
- Monday-Friday: 9:00 AM – 7:00 PM
- Saturday: 9:00 AM-1:00 PM
These may be subject to change based upon clinic needs.
Compensation
Compensation will be based on experience, skills, and familiarity with EMR and OHIP billing.
