St. Matthew's Bracondale House (SMBH) is a Toronto-based non-profit providing supportive housing and residential care to seniors. Our small, dedicated team is committed to financial stewardship that serves our residents and fulfills our obligations to government funders and the community.
The Role
We are seeking a reliable and detail-oriented Finance Manager to join SMBH. This is a key operational role within a small restructured finance team, working alongside outside contractor/s (payroll and accounting). You will oversee the day-to-day accounting functions keeping our books current, our cash moving, and our records clean — while responsible for month-end close and financial reporting.
This role is well-suited to someone who thrives in a hands-on environment, takes pride in accurate work, prepares financial reports and forecasting for the leadership team and board of directors.
Key ResponsibilitiesAccounts Payable
- Retrieve, code, and post approved vendor invoices in QuickBooks Online (QBO)
- Process vendor payments via Telpay on a weekly basis; set up new vendors as required
- Monitor the accounting email inbox for invoices and follow up on outstanding items
- Ensure all invoices are scanned and attached in QBO with proper GL coding
- Record monthly corporate credit card expenses using Dext or similar
Accounts Receivable
- Post all revenue receipts: RDC rent deposits, e-transfers, HELCIM credit card payments, and cash/cheque deposits
- Process monthly rent PAD batches (~103 residents) via Telpay by the 25th of each month
- Overseeing the timely distribution of monthly tenant meal and rent statements
- Follow up on tenant arrears and account inquiries
- Process move-in/move-out rent adjustments including LMR calculations
Banking
- Make weekly bank deposits (front office cash and cheques)
- Perform daily review of online banking activity including Visa accounts
- Prepare and post bank deposit records in QBO
Credit Card Reconciliation
- Download and file monthly bank and credit card statements
- Match and clear credit card feeds in QBO; reconcile to monthly statements
- Follow up on missing receipts and confirm Dext entries
General / Administrative
- Maintain organized digital filing of all financial documents
- Lead month-end preparation and document gathering
- Assist with WSIB filing preparation (quarterly)
Budget and Reporting
- Ensure month-end/quarterly closeout to prepare monthly financial statements (journal entries)
- Preparing forecasts with budget comparison
- Act as lead in the creation of new fiscal year budget for Executive Director and Board review (December 31st).
Qualifications
- 3–5 years of bookkeeping or accounting experience
- Proficiency with QuickBooks Online (QBO)
- Experience with accounts payable and receivable workflows
- Proof of Clear Vulnerable Sector Screening
- Strong attention to detail and comfort with high-volume transaction processing
- Ability to work independently and manage recurring weekly/monthly deadlines
- Experience with electronic payment, invoice processing, and ‘Point of Sale’ systems
- Non-profit sector experience
- Familiarity with government-funded organization accounting (e.g., Ministry of Long-Term Care)
- Completion of a bookkeeping certificate or accounting diploma
