The Citizens for the Advancement of Community Development (CACD) is a charitable, community-based organization dedicated to empowering youth, strengthening families, and building healthier, safer, and more inclusive communities. Through education, leadership development, mentorship, employment readiness, community engagement, STEM innovation, financial literacy, mental health awareness, civic participation, and cultural development, CACD supports youth and families in achieving their full potential.
CACD delivers a wide range of programmes, events, workshops, conferences, leadership initiatives, employment programmes, community forums, and special projects throughout the year.
Position Summary
The Administrative Assistant will play an important role in supporting the day-to-day administrative, operational, and programme functions of CACD. The successful candidate will assist with office administration, programme coordination, communications, volunteer support, event planning, data management, stakeholder engagement, and community outreach activities.
This position is designed to provide meaningful work experience while helping the participant develop professional, organizational, communication, leadership, and project management skills in a community development environment.
Key Responsibilities
Administrative Support
- Provide general administrative support to the CEO and CACD staff team.
- Prepare correspondence, reports, presentations, meeting notes, and organizational documents.
- Assist with scheduling meetings, workshops, events, and appointments.
- Maintain filing systems, electronic records, databases, and programme documentation.
- Support data entry, record keeping, and information management activities.
- Assist with monitoring organizational calendars and programme schedules.
- Respond to general inquiries from participants, volunteers, partners, and community members.
- Assist in maintaining participant registration and attendance records.
Programme and Project Support
- Assist with the coordination and delivery of CACD programmes and initiatives.
- Support programme registration, participant tracking, and follow-up activities.
- Assist with programme evaluations, surveys, data collection, and reporting.
- Support youth engagement, volunteer coordination, and participant communications.
- Help prepare programme materials, resource packages, and workshop supplies.
- Assist in maintaining programme databases and tracking systems.
Event Planning and Coordination
- Support the planning and delivery of workshops, community forums, training sessions, career fairs, recognition events, and community celebrations.
- Assist with event logistics, registration, participant communications, venue preparation, and event-day coordination.
- Support outreach to community organizations, schools, employers, volunteers, and stakeholders.
- Assist with preparing promotional and informational materials for events.
Communications and Outreach
- Assist in developing newsletters, announcements, promotional materials, and community communications.
- Support website updates and social media activities.
- Help maintain contact lists and stakeholder databases.
- Assist with participant follow-up and community outreach activities.
- Support the promotion of programmes, events, and volunteer opportunities.
Research and Community Development Support
- Conduct research related to community needs, funding opportunities, partnership development, and programme enhancement.
- Assist in gathering information and resources to support organizational initiatives.
- Support the preparation of reports, briefing notes, and project summaries.
- Assist with documenting programme outcomes, success stories, and community impact.
Organizational Support
- Participate in staff meetings, planning sessions, and training activities.
- Assist with maintaining office organization and administrative systems.
- Support special projects and organizational priorities as assigned.
- Perform other duties related to administrative, programme, and operational support.

Qualifications
- Eligible to participate in the Canada Summer Jobs programme.
- Currently enrolled in college, university, or a related educational programme.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively within a team environment.
- Comfortable working with diverse communities and stakeholders.
- Demonstrated interest in community development, youth engagement, education, social services, public administration, or non-profit work.
- Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Experience with social media platforms and digital communications is considered an asset.
- Knowledge of Canva, database systems, website management, or event coordination is considered an asset.
