About the Role
Canadian Flatbeds Ltd. is seeking a highly organized and detail-oriented Administrative Assistant – HR & Operations to provide direct support to the Human Resources, Claims, and Operations departments.
This position offers an excellent opportunity to gain hands-on experience across multiple areas of the business, including human resources, recruitment, employee relations, claims administration, and general office operations. We are looking for someone who is proactive, eager to learn, and enjoys working in a fast-paced environment.
Key Responsibilities
Human Resources
- Assist with recruitment activities, including posting jobs, screening resumes, scheduling interviews, and communicating with candidates.
- Prepare offer letters, employment agreements, employment verification letters, and other HR correspondence.
- Assist with onboarding new employees and completing new hire documentation.
- Maintain accurate and confidential employee personnel files.
- Track employee training and probationary review dates.
- Assist with employee communications, policy updates, and HR initiatives.
- Support employee engagement activities and other HR projects.
- Maintain strict confidentiality of employee and company information.
Claims Administration
- Provide administrative support for transportation and insurance claims.
- Open and maintain claim files and organize supporting documentation.
- Communicate with insurance adjusters, brokers, customers, and third parties regarding claim status.
- Prepare correspondence and collect documentation related to claims investigations.
- Track claim progress and maintain accurate claim records.
- Assist with preparing reports and claim summaries for management.
Administration & Operations
- Provide administrative support to the Operations and Management teams.
- Prepare reports, presentations, spreadsheets, and business correspondence.
- Maintain electronic and paper filing systems.
- Coordinate meetings, calendars, and appointments.
- Answer and direct incoming phone calls and emails professionally.
- Perform data entry and maintain internal databases.
- Assist with invoice processing and document management.
- Assist with special projects and other administrative duties as assigned.
Qualifications
- Diploma or post-secondary education in Human Resources, Business Administration, Office Administration, or a related field.
- Previous experience in an administrative or HR support role is considered an asset.
- Experience in claims administration, insurance, transportation, or logistics is an asset.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong time management skills and the ability to manage multiple priorities.
- Positive attitude, initiative, and willingness to learn.
Technical Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with HRIS, claims management, payroll, or transportation software is considered an asset.
- Comfortable learning new software and systems.
