The Role Project Coordinator is a cornerstone of Homes to Havens.
You ensure the owner and field team have the space to do what they do best — by providing the administrative backbone that keeps projects organized, clients informed, finances reconciled, and the business running smoothly. This is a multi-hat role spanning project coordination, financial administration, human resources, and marketing. It is ideal for someone who thrives on variety, takes deep satisfaction in being indispensable, and operates with high initiative. This is not a role for someone who needs constant direction. You want to be the person people can always count on — and you work hard to ensure that is exactly who you are. Key Responsibilities 1. Project & Production Coordination
Support site supervisors with administrative tasks: updating build budgets, collecting quotations, and managing delivery schedules. Research and vet new subcontractors; ensure materials arrive on time.
Maintain project management software with accurate, up-to-date job details. Support client communication coordination to ensure a seamless experience from contract to completion.. 2. Human Resources
Support recruitment: draft employment advertisements, screen resumes, and coordinate onboarding. Create and maintain HR documentation, produce employment letters, and support benefits administration. 3. General Business Administration
Maintain business compliance: insurance, licensing, vehicle registrations, and home warranty renewals. Manage company communication plans, legal documents, and office supplies.
Build and improve administrative processes that keep the business organized and running efficiently.
Marketing & Business Development Support Manage social media accounts (including @homestohavens), website updates, and online lead generation.
Design marketing and sales materials, order promotional items, and respond to estimate inquiries. Support the owner in sales and business development through quote preparation, lead nurturing, and client scheduling. Traits for Success

Tech-Savvy: Experience with project management and accounting software (e.g., BuilderTrend, Sage, or equivalents) and Microsoft Office Suite. Construction Knowledge: Familiarity with the construction industry is a strong asset.
Strong Communication: Exceptional verbal and written communication skills to collaborate with clients, employees, and external partners. Problem-Solving Ability: You find solutions quickly and keep the business on track when challenges arise.
