Note : This is a regular part-time Support position (up to 24 hours per week) starting as soon as possible. Expected working days are from Monday to Friday and within business hours (to be confirmed during the interview).
Part-time Support Staff employees, as defined by the Part-Time Support Staff Collective Agreement , will be given first consideration.

Why This Role Is Important
Reporting to the Program Manager, the regular part-time Academic Officer is responsible for a wide range of administrative duties related to academic planning for the School of Community Studies portfolio including the CICE program.
How You’ll Make an Impact
Responsible for planning/initiating/implementing the academic cycle
Completes, verifies and sets up curriculum clusters by semester and Registers students in CICE and elective courses
Works with Program Manager and Coordinator on enrollment projections, division of enrollment into classes and scheduling/timetabling of individual/group tutoring times for CICE students and Learning Facilitator
Plans out the use of tutoring space for out-of-class activities
Provides detailed information to scheduling on how courses are to be scheduled
Coordinates the sharing of sections between multiple programs and departments and the submission of timetable parameters
Resolves timetable problems with the scheduler and reviews timetables to resolve scheduling conflicts and make suggestion to correct any apparent errors
Maintains efficient office systems and procedures including mail, files, reports, and a reliable record system
Responds to written and telephone inquiries
Works to achieve optimal allocation of Faculty and Learning Facilitator assignments
Assists Coordinators/Registrar staff with registration process. Manual registration initially and follow through with computerized registration process
Works through registration issues (course overrides, changes to section maximums, etc.)
Tracks Grad Requirements based on year of intake
Produces summary reports from the database and keeps track of meeting minutes and actions
Supports marketing and recruiting activities for the School
What You’ll Bring
2-year Diploma in a related field or equivalent training in Business Office Administration is required
Minimum 3-years’ working in an office environment
Advanced computer skills in Database Management (MS Excel and Google Docs) is required
Intermediate math and budget skills required
Knowledge of the use of educational technologies at the higher education level and experience developing workshops and training materials that are tailored to various learner profiles is preferred
An equivalent combination of education and/or experience may be considered
Ability to apply principles of diversity and inclusiveness to meet the needs of a diverse student population
Excellent administrative/organizational and priority setting skills
Excellent interpersonal skills (written and oral)
Ability to work independently as well as in a team environment
Demonstrate initiative, flexibility and planning skills
Ability to multi-task on a daily basis
