Applications are invited for the following position:
AREA: Nursing Office
CLASSIFICATION: SCHEDULING CLERK – 1 Permanent Part-Time (60.00 Hours Bi-Weekly)
POSITION SCOPE:
Responsible to the Director of Client Care (In-Centre), with accountability to all Director(s) of Care, the Scheduling Clerk is responsible for the day-to-day coordination of staff schedules for both In-Centre and Community Client Care Programs consistent with the mission, vision, and philosophy of Core Support Services.
RESPONSIBILITIES:
- Under the direction of the Director of Client Care (In-Centre), the Scheduling Clerk collaborates with the Nursing Supervisor, Program Managers, and Area Supervisors to administer staffing objectives for units/homes and the vocational service centers.
- On a daily basis, organizes, coordinates, schedules and communicates with staff in accordance with collective agreements and established policies and procedures.
- Receives and processes schedule requests, allocates shift assignments, and prepares and adjusts daily schedules to meet operational needs.
- Performs timekeeping and scheduling duties, such as receiving and entering employee information and requests into computerized scheduling system.
- Compiles data and statistics regarding staffing information as requested.
- Liaise with both Payroll and HR and communicates process or systems problems and works with Human Resources and payroll to resolve these problems.
- Liaises with Program Managers concerning unit/area Human Resources including staff availability and utilization of resources.
- Maximizes schedule to ensure overtime is kept to a minimum.
- Performs other related duties as required.
- Identifies effective solutions to day-to-day scheduling challenges and works within the guidelines of any Collective Agreements.
- Manages and ensures efficient processes are in place to identify and action unexpected schedule changes (e.g., WCB, Non-WCB, LOA, and other information communicated through Payroll Change Request) in a timely manner.
- Maintains and promotes good working relationships within the organization as a whole.
- Establishes data records and reports these to Director(s) as required.
QUALIFICATIONS:
Ability to effectively use digital programs to accomplish tasks. Experience in employee scheduling in a unionized environment is an asset. CORE values Diversity, Equity and Inclusion.
