The Opportunity
We are seeking a proactive, service oriented Team Lead / Dental Administrator to join our team at Manotick Main Dental.
This role is ideal for someone who leads by example, genuinely enjoys supporting teammates, solves problems before they escalate, and creates exceptional experiences for every patient who walks through the door. You will play a key role in the daily operations of the clinic while helping to foster a positive, organized, and high performing team environment.
The successful candidate will be a strong communicator, a natural problem solver, and someone who takes real pride in helping both patients and colleagues succeed.
What You'll Do
Leadership & Team Support
- Lead by example and foster a collaborative, positive team culture every day
- Mentor and support front desk staff in daily operations and professional growth
- Identify workflow gaps and proactively implement solutions
- Help onboard new team members and uphold consistent clinic standards
Patient Experience
- Welcome patients with warmth and professionalism at every interaction
- Ensure patients leave informed, comfortable, and with their next appointment confirmed
- Address patient concerns and complaints with empathy and timely resolution
- Assist with treatment coordination and insurance inquiries
Scheduling & Operations
- Manage and optimize the appointment book to maximize clinic efficiency
- Oversee the recall system, appointment confirmations, and cancellation filling
- Coordinate daily scheduling flow across the clinic
Administrative & Financial
- Process patient payments and submit insurance claims accurately
- Manage accounts receivable and follow up on outstanding balances
- Maintain accurate patient records and administrative documentation
- Prepare daily reports and assist with financial record-keeping
- Order supplies and coordinate general office maintenance as needed
What We're Looking For
Required
- Minimum 3 years of experience in a dental administrator, dental receptionist, or similar dental office role
- Demonstrated experience leading, supervising, mentoring, or supporting a team
- Strong organizational and time management skills
- Excellent interpersonal and communication skills
- Ability to manage multiple priorities in a fast paced environment
- Proficiency with dental practice management software and administrative systems
Nice to Have
- Medical or Dental Office Administration certification
- Previous experience in a Team Lead, Supervisor, or Office Manager capacity
- Experience supporting change initiatives or process improvements
Education
Completion of a post-secondary program in Dental Office Administration, Medical Office Administration, Business Administration, or a related field is considered an asset. An equivalent combination of education and relevant experience will also be considered.
