We're looking for an organized, detail-driven Office Manager to keep our day-to-day operations running smoothly. This is a hands-on role spanning administration, bookkeeping, payroll, and compliance, ideal for someone who thrives juggling several priorities at once and takes pride in keeping things accurate and on track.
Office Administration
- Handle incoming calls, emails, and general correspondence
- Assist in keeping company filing systems and project records well organized
- Draft and manage contracts, change orders, subcontracts, and related project paperwork
- Manage apprenticeship registration and tracking
- Monitor insurance certificates, licenses, and company registrations
- Maintain company policies, forms, and standard operating procedures
Bookkeeping & Financial Administration
- Manage accounts payable and accounts receivable
- Assist with customer invoicing
- Follow up on collections and outstanding receivables
- Support monthly financial reporting
- Support job costing records and project budgets current
- Prepare materials for accountants and year-end close
- Assist with GST/PST filing
- QuickBooks experience an asset
Payroll & Human Resources
- Run and verify payroll through Payworks
- Maintain employee files and HR documentation
- Coordinate onboarding and offboarding
- Administer benefit enrollments and related paperwork
- Track vacation, sick time, certifications, and training
- Support recruitment, interviews, and hiring
- Help coordinate performance reviews and staff development
- Maintain workplace policy and disciplinary records
Safety & Compliance
Work alongside our third-party safety consultant to support all of the following:
- Keep safety documentation up to date
- Track certifications, tickets, and training expiries
- Support incident reporting and record keeping
- Ensure employee records stay compliant with Manitoba regulations
Qualifications
- Minimum 3 years of office administration experience
- Strong background in bookkeeping or accounting administration
- Payroll processing experience
- HR experience a strong asset
- Construction industry experience preferred
- Strong proficiency with technology, including comfort using AI tools to work more efficiently
- Solid Microsoft Office Suite skills
- QuickBooks and Payworks experience an asset
- Strong organizational and communication skills
- Able to manage competing priorities in a fast-paced environment
- Discretion in handling confidential information
Pay: $30.00-$45.00 per hour
