RE/MAX Rouge River Realty Ltd. is seeking a professional, organized, and customer-focused Front Desk Receptionist to join our team. As the first point of contact for clients, agents, and visitors, you will play a key role in creating a positive office experience while supporting the daily administrative operations of a busy real estate brokerage.
The ideal candidate is detail-oriented, technologically savvy, and able to manage multiple priorities in a fast-paced environment. Previous real estate experience is an asset but not required.
Responsibilities
- Greet visitors, clients, and agents warmly, ensuring a positive and professional first impression.
- Manage a multi-line phone system, directing calls appropriately and maintaining excellent phone etiquette.
- Schedule appointments and assist with meeting room bookings.
- Perform data entry and maintain accurate records using real estate and office software systems.
- Create and prepare documents, forms, marketing materials, and other office resources using industry-specific and brokerage tools.
- Handle filing, document management, light housekeeping, and general clerical duties to maintain an organized office environment.
- Proofread documents and assist with correspondence and administrative projects.
- Provide exceptional customer service by responding to inquiries promptly and professionally.
- Support agents and staff with day-to-day administrative requirements.
- Coordinate with team members to ensure efficient front desk operations and communication across the office.
Qualifications
- Previous experience in reception, office administration, customer service, or a similar role.
- Strong working knowledge of Microsoft Office (Word, Excel, Outlook) and general office technology.
- Experience with Lone Wolf, SkySlope, Canva, or other real estate and marketing platforms is considered an asset.
- Excellent organizational skills with strong attention to detail and accuracy.
- Strong verbal and written communication skills, including professional phone etiquette.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Previous experience in a real estate brokerage or related industry is an asset but not required.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience with basic third-party graphic design and marketing platforms, including the ability to create professional brochures, social media graphics, presentations, advertisements, and other branded materials is a bonus.
- Self-motivated learner who embraces new technology, seeks out solutions independently, and is comfortable mastering new tools and systems with minimal supervision.
