Schedule: Mon–Fri / Rotating evenings & Saturdays, Sundays.

About the Role:
We are seeking a confident, patient-focused Dental Administrator / Patient Care Coordinator to join our team. This role is ideal for someone who enjoys people, thrives in a fast-paced environment, and can professionally guide patients from inquiry to appointment to treatment acceptance. You will be the first point of contact for many patients and a key driver of an organized schedule and an exceptional patient experience.
Key Responsibilities:
Patient experience & communication:

Welcome patients, manage check-in/check-out, and maintain a warm, professional front desk environment.

Answer phones, respond to emails/texts, and manage high call volumes with strong service standards.

Handle patient concerns respectfully and escalate appropriately when needed.

Collect feedback and support patient retention (reactivation and follow-up protocols). Get 5 Star Review.
Scheduling & coordination:

Book hygiene and doctor schedules strategically to maximize production and minimize gaps.

Manage confirmations, recalls, reactivation, waitlists, same-day openings, and cancellations.

Coordinate appointments across providers and ensure schedules stay on time.
Treatment coordination & financial conversations:

Present treatment plans and estimates confidently and clearly.

Verify insurance coverage, explain limitations, and set appropriate expectations.

Support predeterminations/estimates submission and follow-up (as assigned).

Collect payments, process transactions, and maintain accurate ledgers.
Administrative & systems:

Maintain accurate patient records, chart notes as required, and document conversations.

Manage referrals, incoming/outgoing records, and requests for transfers in accordance with clinic policy.

Support daily/weekly administrative checklists and operational standards.
Qualifications (Must-Have/Preferred):
Must-Have:

1+ year experience in a dental front desk/admin role (or equivalent medical admin with strong dental interest).

Strong communication skills and confidence discussing schedules, fees, and treatment next steps.

High attention to detail and comfort with computers, multitasking, and deadlines.

Professional, positive attitude and accountability.
Preferred:

Experience with dental software (e.g., Akitu-1, Dentrix, Cleardent, Tracker, Power Practice, AbelDent—any is an asset).

Experience with Alberta dental insurance plans, coordination of benefits, and predeterminations.

Sales/treatment acceptance strengths and reactivation experience.
