Looking for a new and exciting job opportunity? We are looking to hire an Administrative Assistant on a temporary basis, for a 12-month maternity leave contract. This position facilitates the approval and onboarding process as well as Ministry reporting, regarding adult individuals who have intellectual and developmental disabilities and receive Passport funding from the Ministry of Children, Community and Social Services. This role also collaborates with community partners and the Passport Community Developers on the development of educational and outreach opportunities.
RESPONSIBILITIES:
- Helping to identify needs, gaps and trends in services requested and within the Passport department.
- Processing Passport Approval as per the directives of MCCSS and ensuring all documents are processed and returned to CWSDS Passport Program in a timely manner. Onboarding Passport Approvals to PassportONE monthly and ensuring all data elements are entered correctly in PassportONE database.
- Identify barriers for access to services and/or utilization of funding and develop alternate strategies within the Passport Program.
- Direct Passport recipient with low utilization rates (and their primary caregiver if applicable) to the Passport Community Development Team.
- Organize monthly reports for the Passport Community Developers focus on utilization and statistics.
- Develop and maintain helpful relationships within the Passport Program and work closely with the Accounting Administrator to develop and maintain internal business processes.
- Serving on internal and external committees.
- Identifying areas of concern involving service delivery issues.
- Keeping manager up to date regarding workloads and service activities.
- Work closely with the Passport Program Manager to maintain efficient processes related to service delivery.
- Provide required reports on a timely basis to Passport Program Manager and our funder MCCSS.
- Lead for Developmental Services Consolidated Information System (DSCIS) and works collaboratively with Developmental Services Ontario (DSO).
- Other duties as assigned.
QUALIFICATIONS:
- Degree or Community College Diploma or equivalent in Social Services.
- 3-5 years’ experience supporting persons who have a developmental disability.
- Experience with Community Development and Planning.
- Knowledge of social services agencies and an understanding of the social service system and the systems approach to servicing individuals/families.
- An understanding of primary caregiver dynamics and how they affect coordination of services.
- An ability to work within a team, with other support providers, families, volunteers and community members and to maintain strong relationships.
- Knowledge and experience in the application of Passport funding.
- Effective written and verbal communication skills.
- Effective organization and interpersonal skills.
- Must have the ability to work independently with minimal supervision.
- Excellent problem solving and decision-making abilities.
- Proficiency in the use of access database and Microsoft Office Products.
- Valid G Drivers’ license and access to a motor vehicle.
- Providing proof of vaccination for COVID-19 and maintaining vaccination status as necessary from time to time during employment.
