Position Summary
Reporting to the Operations Manager, the incumbent is responsible for the provision of support to students, faculty and Associate Deans. The incumbent provides administrative support to their portfolio, including administration, recruitment, data capture and database updating, customer service, calendar production and program development and quality. In addition, the position is responsible for gathering data in support of program analysis and development, environmental analysis, enrolment and labour market research conducted by Associate Deans/Managers.
Responsibilities
- Provides information and guidance to prospective and current students on admission requirements, assessment testing and professional accreditation requirements as well as internal academic processes, requirements, services, and associated learning tools (e.g., myCentennial and eCentennial).
- Refers students to Success and Pathways Advisors or appropriate services areas including but not limited to Counselling, Centre for Students with Disabilities, International Education, Libraries, etc.
- Acts as a liaison with the internal and external departments and stakeholders
- Administration of refunds, textbook ordering, class cancellation procedures, room booking, course evaluation; coordinates recruitment activities/ events, Program Advisory Committee administration
- Prepares accurate salary calculation and contracts for faculty and Program Supervisor
- Coordinates faculty access to college e-systems including ID’s, informs/acts as liaison with faculty on college required training sessions (e.g., myCentennial, eCentennial, AODA, Occupational Health and Safety, etc.
- Maintenance and editing of the web presence for all programs/courses within the Academic School utilizing the Content Management; reviews course and program information, and providing updates/changes to operations for calendar production
- Supports Associate Dean in quality processes such as Centennial program quality review, competitive analysis and labour market information and new program development
- Additional duties as required
Qualifications/Experience
- Two- year diploma in Business Administration and/or Office Administration or equivalent combination of education and relevant work experience
- Minimum 3 years of experience in customer service or student service environment with emphasis on independent problem-solving, interpersonal skills and liaison with internal and external contacts
- Demonstrated proficiency with a variety of office computer applications, Excel, PowerPoint and Word; experience with content management system is an asset
- Experience in compiling data, tracking trends, researching and formatting reports and notes
- Ability to relate and deal effectively with students, faculty and staff in a multicultural environment
- Excellent organizational and time management skills
- Strong written and verbal communications skills; demonstrated ability to speak to both large and small groups
- Ability to work independently and in a team within a diverse community.
