About the Role
We are seeking a detail-oriented and organized Account Assistant to support our finance and accounting department. The ideal candidate will have experience in transportation accounting, accounts payable and receivable processes, and proficiency with Avaal Dispatch Software and QuickBooks Desktop.
Key ResponsibilitiesAccounts Payable (AP)
- Process and verify driver payroll, owner-operator settlements, and carrier pay statements.
- Review, enter, and reconcile vendor invoices.
- Ensure timely and accurate payments to drivers, carriers, and suppliers.
- Maintain accounts payable records and supporting documentation.
- Resolve invoice discrepancies and payment issues.
Accounts Receivable (AR)
- Generate and issue customer invoices.
- Collect and maintain Proof of Delivery (POD) documentation.
- Record customer payments and apply receipts accurately.
- Follow up on outstanding invoices and overdue accounts.
- Maintain customer account records and payment histories.
Banking & Reconciliations
- Perform monthly bank reconciliations.
- Reconcile company credit card statements and expenses.
- Assist with month-end and year-end accounting procedures.
- Support financial reporting and audit preparation.
Software & Systems
- Utilize Avaal Dispatch Software for transportation billing and settlements.
- Maintain accounting records in QuickBooks Desktop.
- Ensure accurate data entry and record management.
Qualifications
- Diploma or Certificate in Accounting, Finance, or Business Administration.
- Minimum 1–2 years of accounting experience, preferably in the trucking or transportation industry.
- Experience with QuickBooks Desktop and Avaal Dispatch Software is preferred.
- Strong understanding of Accounts Payable and Accounts Receivable processes.
- Proficiency in Microsoft Excel and Microsoft Office Suite.
- Excellent organizational and communication skills.
- Ability to work independently and meet deadlines.
Preferred Skills
- Knowledge of trucking operations and transportation billing.
- Experience handling owner-operator and carrier settlements.
- Familiarity with HST/GST reporting.
- Strong attention to detail and accuracy.
