Scale Operator / Sales Support – Job Summary
The Scale Operator / Sales Support employee is responsible for supporting the daily administrative and operational functions of the scale house. This role provides internal support to production, dispatch, and sales teams by processing customer orders, preparing shipping documentation, coordinating pickups, operating the truck scale, and maintaining accurate records. The successful candidate will be organized, detail-oriented, customer-focused, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
- Operate the truck scale and accurately process inbound and outbound transactions.
- Prepare Bills of Lading (BOLs), packing slips, invoices, delivery tickets, and other shipping documentation.
- Process customer payments, including debit, credit card, and account transactions.
- Enter and maintain accurate customer, order, inventory, and sales information in company software systems.
- Coordinate customer pickups with production, dispatch, and yard personnel to ensure materials are ready and loaded on schedule.
- Communicate with internal departments regarding order status, product availability, pickup locations, and timing.
- Directing inquiries to the appropriate department when required.
- Assist walk-in customers with pickups, paperwork, and payment processing.
- Organize and maintain physical and electronic records, files, and documentation.
- Ensure documentation is accurate, complete, and submitted in a timely manner.
- Maintain a clean and organized work area.
- Follow company policies, procedures, and health and safety requirements.
- Perform other administrative and operational duties as assigned.
Qualifications
- Previous experience in an administrative, customer service, dispatch, logistics, or scale operator role is considered an asset.
- Excellent verbal and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize tasks, multitask, and meet deadlines in a fast-paced environment.
- Proficient math skills for processing payments and verifying quantities.
- Intermediate computer skills, including Microsoft Office (Word, Excel, Outlook), point-of-sale (POS) systems, and cloud-based business software.
- Experience preparing shipping documents, Bills of Lading, packing slips, and invoices is an asset.
- Ability to work collaboratively with production, dispatch, drivers, and office staff.
- Strong problem-solving skills and the ability to adapt to changing priorities.

- Ability to remain calm and effective while working under pressure.
SCHEDULE IS: Monday to Thursday 7am-4pm and Friday 7am-3pm
