EMSA North is one of six member zones within the Edmonton Minor Soccer Association (EMSA), supporting community member clubs in the delivery of high-quality youth soccer programs. Our mission is to ensure every child and youth has access to an inclusive, development-focused soccer experience supported by well-trained volunteers.

EMSA North delivers programs for players aged 4 to 19, including Club Tier 3 and Community Tier 4 through Tier 9 programming, serving families throughout North Edmonton and the surrounding area.
Position Description
EMSA North is seeking an Administrative Coordinator to join our team at our Northside office. This role is ideal for a highly organized, adaptable, and self-motivated individual who thrives in a fast-paced environment. The successful candidate will support the day-to-day operations of the organization, coordinate administrative functions, and provide exceptional service to our member organizations, volunteers, and community partners.
The Administrative Coordinator must possess excellent interpersonal, verbal, and written communication skills, along with strong organizational, time management, and problem-solving abilities. The ability to manage multiple priorities, maintain accuracy, exercise sound judgment, and handle confidential information with discretion is essential.
The ideal candidate is proactive, dependable, and responsive, with advanced proficiency in the Microsoft Office Suite, particularly Excel, and the ability to quickly learn new systems. A passion for community sport and youth development is highly valued. Previous administrative experience within an Alberta not-for-profit organization, particularly in amateur sport or community leagues, will be considered an asset.
Responsibilities
- Serve as the primary point of contact for the office by answering incoming telephone calls, responding to inquiries, and providing professional customer service to members and visitors.
- Perform a variety of administrative duties, including records management, filing, report and presentation preparation, meeting coordination, and office supply procurement.
- Manage confidential information and assist with the processing and tracking of volunteer security clearances in accordance with organizational policies.
- Administer player registrations for league and non-league programs, ensuring accurate data entry and timely processing.
- Administer funding applications, hardship requests, and payment plans, while monitoring outstanding accounts and following up on overdue balances.
- Coordinate coach and player equipment pickups and seasonal distribution activities to support program operations.
- Assist in the planning and delivery of tournaments, camps, and coach, player, and referee development programs.
- Attend Board of Directors meetings as required and provide administrative support, including meeting documentation and minute-taking.
- Perform additional administrative and operational duties as required.
Position Requirements
- Advanced proficiency in the Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
- Experience using Google Workspace applications, including Docs, Sheets, Drive, and Calendar.
- Proficient in electronic payment processing platforms, including Moneris and Stripe.
- Strong attention to detail with a high degree of accuracy in data entry and documentation records.
- Excellent organizational, time management, and prioritization skills, with the ability to manage multiple competing tasks and meet deadlines in a fast-paced environment.
- Proactive problem-solving abilities with sound judgment and effective decision-making skills.
- Flexible and adaptable, with the ability to work days, evenings, and weekends as operational requirements dictate.
- Passionate about supporting youth development through community sport and delivering exceptional service to members and stakeholders.
- Eligible to obtain a Vulnerable Sector Police Information Check.
- Must be legally able to work in Canada
- Valid Class 5 driver's license with access to reliable transportation for travel to meetings, events, and program locations as required.
Employment Details
- This is a full-time position with regular business hours as the primary work schedule. Occasional evening and weekend work will be required to support organizational events and operational needs; therefore, flexibility in scheduling is essential.
- The office is closed during the annual Christmas holiday period and operates on reduced business hours for a portion of the summer.
- Starting salary range is $24 to $26 per hour, commensurate with the successful candidate's qualifications and experience. Vacation pay is paid on each regular pay period in accordance with organizational policy.
- Following the successful completion of a three-month probationary period, employees become eligible to participate in the organization's Health and Wellness Spending Account program.
