Position Overview
The Administrative Assistant / Front Desk serves as the primary point of contact for parents, members, and visitors. This role plays a key part in delivering excellent customer service while supporting daily administrative and front desk operations to ensure the smooth and efficient running of the facility.
Key Responsibilities
- Welcome parents, members, and guests in a warm, professional manner
- Respond to phone calls, emails, and in-person inquiries regarding programs, schedules, and services
- Manage class bookings, registrations, cancellations, and member check-ins
- Process payments, issue receipts, and assist with basic billing inquiries
- Maintain accurate records, files, and member information
- Communicate effectively with instructors and management regarding schedules and updates
- Perform daily administrative tasks including data entry and basic reporting
- Ensure the front desk area remains clean, organized, and professional at all times
- Adhere to WD Swim policies, procedures, and confidentiality standards
- Promptly report operational issues or concerns to management
Qualifications
- Previous experience in administrative, front desk, or customer service roles preferred
- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
- Friendly, professional, and customer-focused approach
- Basic computer skills, including email, scheduling systems, and spreadsheets
- Ability to work independently and collaboratively within a team
- Reliable, punctual, and detail-oriented
