As our Office Administrator, you’ll be one of the first points of contact for our customers and a key support to our operations, technicians, and management team.
You’ll play a critical role in:
Creating outstanding first impressions
Keeping schedules running smoothly
Supporting light accounting and reporting
Helping the business grow through organization, follow-ups, and process improvement
This role is ideal for someone who enjoys variety, responsibility, and working with people, and who takes pride in being dependable and detail-oriented.
Answer incoming calls promptly and professionally (before the third ring)
Book, schedule, and coordinate service and maintenance calls
Communicate schedule changes proactively to customers
Dispatch and support field technicians for efficient daily operations
Debrief technicians after calls and ensure payments are collected
Support marketing efforts (Google reviews, outbound customer follow-ups)
Assist with accounts payable/receivable and basic bookkeeping (QuickBooks)
Scan and categorize invoices and financial documents
Track and compile operational KPIs and performance reports
Help develop and improve internal systems and processes
1–2 years of relevant administrative or office experience
Strong customer service and phone etiquette
Excellent written and verbal communication skills
Comfortable working independently and as part of a team
Highly organized, detail-oriented, and able to multitask
Proficient with Microsoft Word, Excel, and email systems
Basic QuickBooks knowledge (preferred, not required)
Knowledge of bookkeeping
Willingness to learn and grow with the company
Valid driver’s license
Ability to pass a background check
