We’re a lean, high-performing team, which means we move fast, hold a high standard, and work collaboratively to get things done without unnecessary layers. We’re hiring an Office & Service Coordinator to support our internal systems and ensure our daily workflows run smoothly.
The Role
You will be the welcoming face of the firm and the administrative engine that keeps our operations seamless. Because our clients and accounting team rely heavily on this role to keep things moving, absolute punctuality, unwavering reliability, and strict adherence to firm schedules are paramount.
What You’ll Do
- Client Service & Front-Line Coordination:
- Manage the front desk, acting as a professional and welcoming point of contact for clients via phone, email, and in-person visits.
- Assist clients with standard administrative processes, including portal use, e-signatures, and CRA authorization support.
- Proactively follow up with clients for missing or incomplete records.
- Operations & Workflow Management:
- Update, maintain, and manage our workflow system including setting up new clients, new projects, tracking deadlines, and liaising with the internal team.
- Set up and roll forward CaseWare and TaxCycle files.
- Retrieve documents submitted electronically via our portals and via paper records, then scan, sort, file, and organize them while maintaining strict internal file standards.
- Own the integrity of the internal workflow system.
- Scheduling & Office Administration:
- Manage appointments, coordinate client document drop-offs and pick-ups, and ensure the office runs on a tight, predictable schedule.
- Support general office operations, coordinate with vendors, assist with purchasing, and maintain an inventory of office supplies.
- Other administrative duties as assigned.

Qualifications
- 2-3+ years in administrative operations, office coordination, or similar support roles.
- Experience with workflow systems or production environments (legal, accounting, medical, engineering, insurance, or similar environments are strong assets).
- Highly organized with strong attention to detail.
- Tech-savvy and comfortable learning new software (CaseWare and TaxCycle are assets but not required).
- On-site availability in Sudbury (this is strictly an in-office role due to operational requirements).
