JOB OVERVIEW
This individual plays a vital role in the day-to-day operations of the clinic as you are the face of the clinic. The Medical Receptionist provides professional administrative support to patients, back office staff and physicians and ensures services are provided in an effective and efficient manner. Primary emphasis is placed upon delivering exceptional customer service in a busy office environment.
EDUCATION AND EXPERIENCE
- Graduation from Grade 12
- Completion of Medical Office Assistant certificate program preferred
- Previous experience in a medical office is an asset, but we are willing to train the right candidate.
ESSENTIAL SKILLS AND ABILITIES
- Excellent communication skills, both written and verbal.
- Broad knowledge of computer programs including EMR software (Accuro).
- Competency in problem solving and decision-making.
- Team-oriented.
- Management of multiple projects simultaneously.
- Strong organization with attention to detail.
RESPONSIBILITIES
1. Telephones
- Manage high-volume incoming calls efficiently, ensuring prompt and professional customer service.
- Handle communication flow by taking detailed messages and ensuring timely transfer to appropriate staff members.
- Transfers calls requesting medical advice, prescription refills or surgery information to the medical office assistant or office manager.
- Provides accurate documentation for all other calls.
2. Patients
- Check-in and check-out patients on a daily basis.
- Coordinate and optimize appointment scheduling, balancing patient needs with provider availability.
- Schedule patients’ next appointments and reschedule appointments as needed.
- Ensure all necessary information has been recorded for each patient; obtains any additional information needed before patients depart.
- Requests payments, creates invoices and provides receipts.
- Create requisitions to hospital for treatment.
- Maintain strict patient confidentiality and demonstrate professional discretion when handling sensitive medical records and patient information in accordance with privacy policies and regulations
3. Reception Room
- Rotates magazines from drop areas back to the reception room.
- Picks up anything left behind by patients (empty cups, crushed tissues, etc.).
- Straighten and replaces chairs to original positions.
4. Other
- Assists medical office assistant and technicians as time and demand require.
