We are looking for a Document Controller to join our project information management team to ensure the project data correctness and consistency and timeliness under the control. Daily management of project documentation across multiple projects in an active and fast paced environment. The successful candidate will work closely with the PIM group to provide uniform support across all projects. The Document Controller shall provide support to Engineering and non-Engineering departments in conjunction with the Document Control procedures and standards.
Bilingual proficiency in English and Mandarin is required for this position.
Key Responsibilities:

Record and Track internal and external distribution of Project documentation.

Process and maintain all engineering/vendor/shop/construction documents in multiple project.

Request document/revision/tag number in client system.

Prepare transmittals of drawings/documents for submission to the client/subcontractors, manage submittals tracking with the Design Manager.

Manage and update each register/log in time and accurately.

Transmittal and document management quality control (Quality/Accuracy Checking)

Upload Project Documentation to client EDMS system if required.

Transfer/Receive of Project Documentation with client systems.

Respond to internal and or external documentation requests and inquiries

Ensure timely transfer of documentation to/from clients and 3rd party vendors.

Maintain and file project documentation, both hard and soft copy

Understand and adhere to Project Document Control Procedures and QA Standards

Provide input regarding improvements to the document control process.

Make routine decisions and recommendations within authorized limits. Exercise initiative in completing recurring assignments independently.
Qualifications:

Bachelor’s degree in information Management or an related field, or work experience in document control, information management, and handling of project documentation.

Bilingual proficiency in English and Mandarin is required for this position.

Experience sending, receiving and expediting documentation and information.

Proficient skills with Adobe Acrobat Professional DC, Excel, Word, Visio, Outlook, FTP etc. tools.

Experience with a similar document management system (EDMS) as an asset.

Strong communication skills, both verbal and written.

Confident operating in a client-facing role, with the ability to collaborate with a wide range of stakeholders.

Acute attention to detail and able to meet tight schedule.
