We are seeking a highly organized, professional, and solutions-focused Operations & Client Services Manager to support the year-round operations of our growing organization.
This is not a traditional administrative role. The successful candidate will work across multiple areas of the company, including customer service, program operations, registrations, parent communication, staff coordination, sales support, scheduling, and day-to-day administrative management.
We are looking for someone sharp, reliable, and experienced who can manage multiple priorities, communicate exceptionally well, take ownership of tasks, and help ensure that our programs operate at a high standard throughout the year. This is a long-term opportunity for someone who wants to grow with the organization. Customer Service

Serve as a key point of contact for parents, participants, and staff

Respond to inquiries by phone, email, and in person in a professional and timely manner

Provide accurate information regarding programs, schedules, registrations, policies, and logistics

Support families with registrations, forms, payments, and general questions

Handle concerns with professionalism, care, and sound judgment, escalating when appropriate

Help ensure a positive, welcoming, and high-quality customer experience across all programs
Administrative Support

Manage day-to-day administrative tasks including data entry, filing, record management, and internal coordination

Maintain accurate participant, family, and program records

Prepare rosters, schedules, reports, communications, and other documentation

Process registrations, attendance records, and operational paperwork

Support leadership with administrative organization and ongoing office operations

Help improve systems, communication flow, and service standards across the organization
On-Site Program Support

Be present at camp, sports, or program locations as scheduled

Support daily check-in, check-out, parent communication, and on-site coordination

Assist staff with administrative and operational needs during programming

Help ensure smooth communication between on-site teams and the office

Represent the organization professionally in front-facing environments

Contribute to a safe, organized, and positive experience for children and families

Previous experience in administration, customer service, program coordination, or youth-focused environments is strongly preferred

Strong background in customer care and front-facing communication

Excellent verbal and written communication skills

Strong organizational skills with the ability to multitask in a fast-paced environment

Comfortable working with parents, children, staff, and leadership

Strong computer skills, including Microsoft Word, Excel, email systems, and general administrative platforms

Must enjoy working with children and contributing to a positive family experience

Candidates with strong experience in administration and customer service will be given preference
Schedule
Monday to Friday + Some weekend
Schedule will be divided between on-site program locations and in-office administrative work.
Additional hours may occasionally be required during peak program periods.
