Job Overview
We are seeking a detail-oriented and organized Administrative Assistant. The successful candidate will thrive working in an engaging, collaborative, fast-paced, innovative environment while supporting dedicated Accounting professionals.
Responsibilities
- Provide project coordination, administrative support, as well as organizational support to our Accounting team
- Produce and maintain databases, digital filing systems and other records
- Assist the Accounting team with all administrative needs
- Provide administrative, billing and AR support to the Accounting team - meeting coordination, report and document preparation, other ad hoc tasks as needed
- Handle general correspondence efficiently and proactively action any items requiring immediate attention
- Preparing deliverables for clients and maintaining our client workflow and data base systems
- E-file tax returns, review and proofread documents
- Organizing, scanning, saving and faxing documents
- Respond to client emails and correspondence, answer calls and communicate with clients
- Supporting billing function as needed
- Updating client contact information in database and associated software
- Participate in the overall department’s development of internal best practices, processes and procedures

Qualification
- 1-3 years of administrative and accounting experience is considered an asset
- Post secondary education
- Intermediate to advanced skills in Microsoft Office
- Experience in CaseWare or TaxPrep or other major accounting software is considered an asset
- Knowledge of U.S. or Canadian tax filings is considered an asset
- Experience in a professional services firm is considered an asset
- Candidate must be trustworthy with sensitive client information, self-motivated and able to work in an unsupervised environment
- Comfortable learning new computer systems and technologies
- Self-motivated and takes initiative
- Capable of managing multiple tasks simultaneously
- Exceptional interpersonal skills, strong written and oral communication skills, analytical skills, organizational and planning skills
- Attention to detail, self-starting, and action-oriented while regularly exercising independent judgment and seeing tasks through to completion
- Proactive in project management
Pay: $50,000.00-$60,000.00 per year
