JOB DESCRIPTION
Title: Medical Office Assistant-Receptionist
Reports To: Urologist/Clinic Manager
Work Schedule: Monday to Friday, 35 hours per week.
Summary:
The Medical Office Assistant-Receptionist, under the direction of the Urologist will primarily be responsible for assessing and assigning incoming referrals and adding patients to wait lists. This shall include but not be limited to; entering and updating patient demographics in Electronic Medical Records (EMR); assigning priority levels to referrals based on guidelines provided for review by the urologist ,acknowledging receipt of referrals to referring physicians, ensuring receipt of appropriate test information. Appointment scheduling is required. Booking of surgeries, procedures and diagnostic imaging test is also required.The incumbent shares information collected from patients and physicians to the urologist. The Medical Office Assistant-Receptionist must be able to communicate and work effectively on a multidisciplinary team, have a working knowledge of medical terminology and meticulous data entry skills. The Medical Office Assistant must be able to work independently when required with minimal supervision.
Job Duties
- Assign incoming referrals a priority level based on guidelines provided and place on wait list for review by urologist.
- Request any missing or required information from referring offices or hospital setting .
- Acknowledge receipt of referrals or decline referrals to referring physicians
- Enter and update patient information in electronic medical records system (Accuro).
- Answer external and internal phone calls.
- Provide administrative support to urologist.
- Handle referral related correspondence, including telephone, email, fax and mail.
- Scan, fax, mail and/or email documents as required.
- Scheduling of patient appointments as required.
- Notifying patients of diagnostic imaging appointments.
- Booking surgeries, cystoscopies and other urology procedures
- Provide recommendations for office policy and/or procedural improvements.
- Participate in staff meetings as requested.
- Other duties as assigned.
Requirements
- Fluent English (spoken and written) required due to the demands of this role.
- Experience with Accuro EMR (minimum 2 years)
- Experience with using Novari and Clinical Connect (preferred)
- Previous experience with working in a specialist office (preferred)
- Working knowledge of medical terminology.
- Proficient in use of Windows-based computers and other office equipment.
- Strong attention to detail, accurate data entry abilities.
- Ability to communicate well and work effectively on a team.
- Excellent organizational and problem-solving skills
- Ability to work efficiently with minimal supervision.
- Superior telephone manners, ability to communicate effectively, strong interpersonal skills.
- Access to a home computer as this is a hybrid position (we do not provide computers/ peripherals to work at home)
