We are seeking a highly organized and detail-oriented Immigration Case Coordinator / Administrator to support the day-to-day operations of our immigration consulting practice. The successful candidate will be responsible for managing client files, preparing immigration applications, coordinating communications, and ensuring the timely completion of administrative and case-related tasks.
Key Responsibilities
- Manage and maintain client files, records, and supporting documentation.
- Prepare, review, and organize immigration applications and supporting documents under the direction of the RCIC.
- Gather client information and supporting documentation required for immigration applications.
- Communicate with clients regarding document requests, application updates, and appointment scheduling.
- Respond to phone calls, emails, and general client inquiries in a professional manner.
- Schedule consultations, meetings, and follow-up appointments.
- Maintain accurate and up-to-date records within the firm’s case management systems.
- Monitor application deadlines and ensure timely submission of files.
- Assist with general office administration and operational support as required.
- Maintain confidentiality and handle sensitive client information with professionalism and discretion.
Required Skills
- Strong computer proficiency, including Microsoft Word, Excel, Outlook, and other office software applications.
- Excellent organizational and multitasking abilities with strong attention to detail.
- Strong verbal and written communication skills.
- Exceptional customer service skills and ability to work with clients from diverse backgrounds.
- Ability to manage multiple files and deadlines simultaneously.
Qualification:
- Previous experience in an immigration consulting firm, law office, or similar environment is considered a strong asset.
- Working knowledge of Canadian immigration programs and procedures, including:
- Express Entry
- Provincial Nominee Programs (PNP)
- Work Permits
- Family Sponsorship
- Visitor Visas
- Study Permits
- Experience preparing and submitting immigration applications is considered a significant asset.
Eligibility Requirements
- Must be legally authorized to work in Canada.
- Candidates must hold Canadian Citizenship, Permanent Residency, or a valid work permit.
- No LMIA or work permit extension support will be provided.
