About Us
Turf Training Centre is a busy, multi-location sports facility offering turf rentals, room rentals, gym rentals, and office spaces. We are looking for an organized, reliable, and proactive Office Administrator to support daily administrative and operational needs.
About the Role
The Office Administrator supports the Office Operations Manager with bookings, client communication, billing records, documentation, and general administrative tasks.
This is a part-time, seasonal, on-site role. This is not a Monday-to-Friday, 9:00 AM to 5:00 PM position. Hours may vary based on seasonal demand, and flexibility is required. Availability for evenings and weekends is required as business needs change.
Initial training will primarily take place during daytime hours, but the regular schedule may include evenings, weekends, and varying shifts.
Responsibilities
- Monitor and respond to customer emails
- Answer phone calls and assist with client inquiries
- Process turf, classroom, gym, and office bookings
- Support one-time bookings and block bookings
- Create invoices and sales receipts in QuickBooks
- Record customer payments and maintain accurate records
- Track client communication, payments, and follow-ups
- Organize digital documents, schedules, and internal records
- Complete assigned administrative and research tasks
- Assist with promotional or social media updates as directed
- Provide front desk or on-site support when needed
- Assist with light cleaning, facility checks, and basic upkeep during shifts
Ideal Candidate
The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-paced customer-facing environment.
Experience with any of the following is an asset, but not required:
- SportsKey or EZFacility
- Asana
- HubSpot
- QuickBooks
- Google Drive
- Google Sheets
- Gmail and Google Calendar
Requirements
- Previous administrative, office support, customer service, or similar experience required
- Strong communication skills by email, phone, and in person
- Comfortable using online systems and learning new software
- Organized and accurate with bookings, records, and payments
- Able to multitask and stay on task independently
- Reliable, punctual, and professional
- Comfortable with light cleaning and basic facility support when required
- Flexible availability required, including evenings and weekends
- Able to work a varying schedule based on seasonal business needs
- Interest in sports, fitness, or facility operations is an asset
Training Provided
Training will be provided for TTC’s booking process, internal procedures, QuickBooks tasks, facility protocols, and software systems as needed.
