We're looking for a professional, organized, and customer-focused Front Desk Administrator to join our team. This role is ideal for someone who enjoys helping people, staying organized, and being at the center of daily office activity.
As the first point of contact for customers, vendors, and visitors, you'll play a key role in creating a positive experience while helping keep communication and office operations running smoothly.
What You'll Be Doing
As a Front Desk Administrator, you'll support both our customers and internal team by ensuring information flows efficiently throughout the organization.
Key Responsibilities
- Answer incoming phone calls and direct inquiries to the appropriate department
- Greet customers, vendors, and visitors professionally and courteously
- Schedule service calls, appointments, and meetings
- Monitor and respond to general office emails and customer inquiries
- Assist with preparing work orders, invoices, and customer documentation
- Maintain organized filing systems and company records
- Process incoming and outgoing mail, deliveries, and courier packages
- Coordinate communication between office staff, technicians, management, and customers
- Maintain accurate customer contact information and records
- Perform data entry and document management tasks
- Support team members with general administrative and clerical duties
- Help maintain a professional and organized reception and office environment
- Handle customer concerns professionally and escalate issues when required

Required Qualifications
- Previous customer service, reception, administrative, or office experience
- Strong communication and interpersonal skills
- Excellent phone etiquette and professionalism
- Strong organizational and multitasking abilities
- High attention to detail and accuracy
- Ability to prioritize tasks in a fast-paced environment
- Positive attitude and willingness to help others
Technical Skills
Experience with the following is preferred:
- Microsoft Outlook
- Microsoft Word
- Microsoft Excel
- Scheduling or dispatch software
- QuickBooks or ERP software
Ideal Candidate
You enjoy working with people, stay calm when things get busy, and take pride in providing excellent customer service. You are dependable, professional, and understand that every interaction helps shape a customer's perception of the company.
Experience in HVAC, refrigeration, plumbing, construction, service, or trades-related industries is considered an asset but is not required.
