Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical skills, proficiency in various software tools, and excellent customer service abilities. This role involves managing daily administrative tasks, supporting front desk operations, and ensuring smooth communication within the organization. Prior experience in medical or dental office settings is a plus, along with familiarity with QuickBooks and Google Workspace. Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone systems
- Perform data entry and maintain accurate records using Microsoft Office and Google Workspace applications
- Handle filing, document proofreading, and general clerical tasks to ensure organized office operations
- Support bookkeeping activities using QuickBooks and assist with basic bookkeeping tasks
- Provide exceptional customer service to clients, patients, or visitors, demonstrating professional phone etiquette and support skills
- Assist with appointment scheduling and coordinate calendars for staff or medical/dental practitioners
- Support administrative projects such as preparing reports, correspondence, and other documentation
- Maintain organized files both electronically and physically to ensure quick retrieval of information
Qualifications
- Proven experience in office administration, clerical work, or related roles; experience in medical or dental offices is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
- Experience with QuickBooks and bookkeeping is preferred but not required
- Strong organizational skills with attention to detail and accuracy in data entry and proofreading
- Excellent customer service skills with professional phone etiquette and communication abilities
- Ability to handle multi-line phone systems efficiently and manage front desk responsibilities
- Demonstrated ability to prioritize tasks effectively in a fast-paced environment
- High school diploma or equivalent required; additional administrative certifications are a plus
Pay: $18.00-$20.00 per hour
