All Things Speech is a growing pediatric speech-language pathology practice supporting children and families across Burnaby, New Westminster, and surrounding communities. As our clinic continues to grow, we are looking for a Clinic Coordinator to help support the day-to-day operations of the practice. This role is ideal for someone who enjoys creating systems, solving problems, staying organized, and helping both families and clinicians thrive.
About the Role
The Clinical Coordinator plays an important role in ensuring the smooth operation of the clinic. You will support client coordination, scheduling and caseload management, operational systems, and clinic processes to help ensure our clinicians can focus on providing exceptional care.
This is more than a traditional administrative role. We are looking for someone who is proactive, detail-oriented, and comfortable taking ownership of their work while contributing to the ongoing growth of the practice.
Responsibilities
Client Coordination
- Coordinate initial consultations
- Maintain and manage clinic waitlists
- Support families with administrative questions and clinic processes
Scheduling & Caseload Management
- Coordinate ongoing clinician schedules and client appointments
- Support caseload planning and client-clinician matching
- Coordinate therapy room allocation and clinic calendars
Clinic Operations
- Support the management of the clinic's coordination inbox and operational communications
- Track client review timelines and proactively coordinate review scheduling and follow-up
- Maintain and improve clinic systems and workflows
- Assist with special projects, group programs, and clinic initiatives
- Identify opportunities to improve efficiency and organization
Administrative & Financial Support
- Maintain billing and tracking spreadsheets
- Coordinate invoice submissions and payment reconciliation processes
- Maintain accurate administrative records and operational tracking systems
- Work closely with the Clinical Director on operational priorities
Qualifications
The ideal candidate:
- Is highly organized and detail-oriented
- Has excellent written and verbal communication skills
- Is comfortable managing multiple competing priorities and deadlines
- Works independently and takes initiative
- Enjoys problem-solving and improving systems
- Anticipates needs and proactively follows up on tasks, priorities, and deadlines
- Demonstrates professionalism, reliability, and sound judgment
- Maintains confidentiality and discretion when handling sensitive information
Assets
- Experience coordinating multiple schedules and managing competing priorities
- Experience in healthcare, education, therapy, or child development settings
- Experience with client coordination, administrative operations, or office administration
- Experience working in a small business environment
- Experience with funding, invoicing, or healthcare billing processes
- Experience with Jane App or similar scheduling/practice management software
