Job Description
The Dispatch and Billing Coordinator manages transportation schedules, assigns drivers and vehicles, monitors trip progress, and handles billing documentation for completed transports. The position requires strong organizational skills, multitasking abilities, customer service, and attention to detail in a fast-paced healthcare transportation environment.
Key ResponsibilitiesDispatch Duties
- Schedule and coordinate patient transportation appointments.
- Assign drivers and vehicles based on trip requirements and availability.
- Monitor driver routes and ensure timely pickups and drop-offs.
- Communicate with hospitals, clinics, nursing homes, patients, and family members regarding transportation updates.
- Handle last-minute schedule changes and emergency transportation requests.
- Maintain accurate dispatch logs and trip records.
- Ensure drivers comply with company policies and safety regulations.
Billing Duties
- Prepare and process invoices for transportation services.
- Verify trip details, mileage, and billing documentation for accuracy.
- Submit billing information to insurance companies, healthcare facilities, or private clients.
- Maintain patient billing records and payment tracking.
- Resolve billing discrepancies and follow up on unpaid invoices.
- Assist with insurance verification and authorization documentation when required.
- Generate billing reports and maintain confidential financial records.
Administrative & Customer Service Duties
- Answer phone calls and respond to customer inquiries professionally.
- Maintain confidentiality of patient information in compliance with privacy regulations.
- Support office operations and assist management with administrative tasks.
- Provide excellent customer service to patients, healthcare staff, and drivers.
Skills & Qualifications
- Strong communication and multitasking skills.
- Experience with dispatching, scheduling, or medical transportation preferred.
- Knowledge of billing procedures and data entry.
- Proficiency in Microsoft Office and dispatch/billing software.
- Ability to work under pressure and solve problems quickly.
- Strong attention to detail and organizational skills.
- Customer service experience preferred.
Pay: $18.00-$20.00 per hour
