Full Time Coordinator/Administrator
The Cold Lake Seniors' Society is seeking an organized, motivated, and community-minded individual to join our team as Coordinator.
This full-time position is responsible for overseeing the day-to-day operations of the Society, including administration, facility coordination, program support, tenant relations, staff supervision, and community engagement. The successful candidate will play a key role in ensuring the smooth operation of the Seniors' Centre while providing excellent service to members, renters, volunteers, community partners, and the public.
Key Responsibilities
Administration & Office Operations
- Manage daily office operations and provide front-line reception services.
- Respond to inquiries by phone, email, and in person.
- Maintain memberships, program registrations, facility bookings, and rental agreements.
- Prepare correspondence, newsletters, reports, and promotional materials.
- Maintain accurate records and filing systems.
- Assist the Board of Directors with administrative support as required.
- Any other related cuties.
Financial Administration
- Collect and record program fees, memberships, rental payments, and donations.
- Assist with financial records and with deposits.
- Support grant applications and prepare grant reporting documentation.
Facility Operations
- Coordinate contractors, service providers, and maintenance activities.
- Monitor building operations and address facility-related concerns.
- Maintain positive relationships with tenants and assist in resolving issues.
- Ensure the facility remains safe, welcoming, and well-maintained.
Staff & Volunteer Coordination
- Communicate daily and support janitorial staff.
- Support volunteers and foster positive working relationships.
Programs & Community Engagement
- Assist with planning, coordinating, and promoting programs, events, and activities.
- Build and maintain positive relationships with members, community organizations, businesses, and partners.
- Promote Society programs and services through newsletters, social media, and other communication channels.
Qualifications
- Diploma or certificate in Office Administration, Business Administration or a related field is considered an asset
- Minimum three years of administrative, coordination, or office management experience.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent communication, interpersonal, and good conflict resolution skills.
- Experience with cash handling.
- Proficiency in Microsoft Office applications and general office technology.
- Ability to work independently and exercise sound judgment.
- Experience working in a non-profit, community organization is considered an asset, but not required.
- Experience with bookkeeping and financial tracking considered an asset but not required.
- Supervisory experience is considered an asset.
Compensation
Compensation will be based on qualifications and experience.
