Job Overview
We are currently hiring a Client Excellence Coordinator (CEC), a dynamic role that blends executive support, project coordination, and workflow optimization. This position goes beyond traditional administrative duties, playing a key part in driving internal efficiency, supporting firm initiatives, and helping deliver outstanding experience to both clients and colleagues.
This position plays a vital role in ensuring our internal processes function seamlessly, while also acting as a relationship builder and trusted professional to clients while working within a pod. You’ll help drive initiatives forward, improve team productivity, keep timelines on track and maintain a high standard of service excellence and communication flowing smoothly.
Key Responsibilities
- Work collaboratively within a client service pod to manage administrative and operational tasks, ensuring client deliverables are completed accurately, on time, and with attention to detail
- Coordinate, track, and support small-to-mid-sized projects, pod-led or firm initiatives (e.g., technology rollouts, client onboarding improvements, or workflow reviews)
- Anticipate scheduling needs and proactively manage calendars, meetings, and deliverables across various teams
- Refine, manage, and document internal workflow processes to maximize efficiency and minimize bottlenecks
- Serve as a point of contact for client inquiries, researching and responding with professionalism, accuracy, and a client-first mindset
- Monitor, organize, and follow up on key tasks, ensuring accountability across departments
- Support the firm’s leadership team with project planning, logistics, and status reporting
- Plan and execute internal team events, training sessions, and offsite meetings
- Handle confidential and sensitive information with discretion and integrity
- Support communication and engagement strategies aimed at enhancing client relationships and internal collaboration
Required:
- Proven experience in administrative, executive support, or coordination roles
- Excellent organizational and time management skills; ability to juggle multiple priorities effectively
- Strong interpersonal and communication skills—both written and verbal
- Tech-savvy with strong proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to quickly learn new systems
- Proactive, resourceful, and solution-oriented
- Ability to work independently and collaboratively across multiple departments
- Strong attention to detail and high standards of professionalism
Preferred:
- Experience supporting senior leaders or partners in a professional services environment
- Working in team pod
- Exposure to project coordination or management—tracking timelines, deliverables, and cross-functional input
- Knowledge of workflow optimization or administrative process improvement
- Familiarity with working alongside or within client service teams
- Experience interacting with government agencies (CRA, etc.) is an asset
