Help keep a growing business organized, efficient, and moving forward.
We’re a growing heating and ventilation company based in Southern Manitoba, with a strong focus on energy-efficient solutions including heat pump and geothermal installations.
We’re looking for an organized, proactive person to help manage daily operations, improve internal systems, and support the owner and team as the company grows.
This is an active, hands-on operations role. You’ll be involved in the day-to-day details of the business while also helping build better workflows, checklists, records, and processes behind the scenes. You won’t be expected to know everything on day one, but you should be dependable, curious, tech-comfortable, and willing to take ownership as you learn.
This role is a strong fit for someone who likes variety, notices when things could work better, and enjoys bringing structure to a growing business.
What You’ll Do
You’ll help keep the office, projects, and team organized by supporting:
· Daily office operations, scheduling, emails, phone calls, and internal communication
· Project files, checklists, installation packages, customer records, and digital documentation
· Bookkeeping support, including invoices, purchase orders, receipts, and job costing
· Payroll and basic tax remittance support, working with leadership and external accounting resources as needed
· Employee onboarding, safety records, HR documentation, and training records
· Social media updates, website maintenance, and basic marketing coordination
· Internal workflows, templates, automations, and process improvements
· Follow-up on outstanding tasks so important details do not fall through the cracks
Qualifications
We’re looking for someone with:
· Strong organizational skills and attention to detail
· Clear written and verbal communication skills
· Comfort using computers, cloud-based tools, digital records, and common office software
· Ability to manage multiple tasks, timelines, and follow-ups
· Good judgment and the ability to handle confidential information appropriately
· A reliable, professional, and team-oriented approach
Formal education is welcome, but not required if you have the right combination of experience, attitude, and ability to learn.
Assets
The following experience would be helpful, but is not required:
· Administration, office management, operations, or project coordination
· Bookkeeping, invoicing, payroll, purchase orders, receipts, or job costing
· Tax remittance, payroll deductions, or working with accounting support
· Onboarding, employee records, safety documentation, or HR administration
· Social media updates, website maintenance, or basic marketing coordination
· Creating or improving checklists, templates, workflows, or internal systems
· Experience in trades, construction, HVAC, home services, energy efficiency, or project-based businesses
We are open to training the right person. Attitude, follow-through, work ethic, and willingness to take ownership matter more than a perfect resume.
What Success Looks Like
In the first few months, success means:
· Office records, project files, and follow-ups are organized and up to date
· Communication, scheduling, and day-to-day tasks are moving more smoothly
· You are learning the business and identifying practical ways to improve workflows
Over time, this role can grow into broader ownership of office operations, internal systems, and process improvement.
Why This Role Matters
Good operations create the foundation for growth.
As the company grows, the owner needs someone who can help manage the details of the business while improving the systems behind the scenes. For the right person, this role has the potential to grow into a senior operations, office management, or systems-focused leadership position over time.
