We are currently recruiting for a HVAC Service Coordinator for a mechanical contractor in Port Coquitlam! This is a Full-Time & Permanent role within their team.
A successful candidate would be one that comes from a background of HVAC/mechanical contracting and fluent in scheduling/dispatching HVAC technicians to jobsites with excellent communication skills & the ability to pivot with changes.
Requirements:
- 3+ years of administrative/coordinator experience within the HVAC/Mechanical industry
- 2+ years of service dispatching, scheduling in a mechanical or field service environment
- Proficiency with JONAS or other service dispatching software is an asset
- Excellent communication skills: written & verbal
- Ability to prioritize tasks & meet deadlines in a fast-paced environment
- Willingness to learn & support a team
- Reflects longevity in previous employment history
- Flexible with the ability to pivot with changes that arises on jobs
Duties:
- Answer all customer & service inquiry calls incoming
- Dispatching (5+) Service Technicians with the necessary parts to perform the job
- Constant communication with Technicians on the jobs & supporting them: tracking parts, obtaining appropriate customer approvals
- Optimize resource utilization by coordinating multiple service requests based on urgency
- Following-up with customers on updates & service resolution process
- Review schedule requisitions, distances & personnel availability to minimized operating costs & time-efficiency
- Anticipating and planning for increases/decreases in service volumes, shifting resources in response to seasonal and other fluctuations.
- Recording and distributing information to appropriate departments, including site information, service issues, sales opportunities, dispatch activities, and workplace safety issues in our internal systems.
- Coordinating office and warehouse activities, managing shipments, inventory, and office supplies.
- Maintaining job and administrative files, formatting reports, managing work reports, and taking meeting minutes.
- Managing Technicians and fleet maintenance schedules.
- Providing scheduling and logistical support for meetings, events, travel, field schedules, and reservation arrangements.
- Fulfilling additional responsibilities as assigned
