Sun Shade Co. and a growing contracting company are hiring an Administrative Coordinator to help keep our businesses organized, moving, and operating efficiently.
This is not a big corporate office job with layers of management and endless meetings.
You’ll work directly with the business owners. Some days will involve customer communication and scheduling. Other days will involve organizing project information, chasing down paperwork, handling invoices, coordinating logistics, or helping bring structure to growing companies.
We’re looking for someone who likes bringing order to chaos.
More importantly, we’re looking for the right person.
We want someone who takes ownership, notices problems before they become issues, and genuinely enjoys keeping things organized and running properly. If you are the kind of person who naturally makes systems better, keeps people on track, and hates disorganization, you’ll probably do well here.
This role matters. Good admin support keeps projects moving, customers happy, and operations efficient.
What You’ll Do
Manage emails, calendars, scheduling, and follow-ups
Coordinate with customers, suppliers, subcontractors, and internal team members
Prepare quotes, invoices, purchase orders, and project documents
Organize files, spreadsheets, and operational records
Track tasks, deadlines, and project details
Assist with bookkeeping and administrative organization
Help improve internal systems and workflow
Support day-to-day operations across both businesses
What You Need
Strong organizational skills and attention to detail
Clear and professional communication
Ability to manage multiple tasks without constant supervision
Comfortable using computers, spreadsheets, and office software
Reliable, punctual, and self-motivated
Ability to adapt in a fast-moving small business environment
Nice To Have
Experience in administration, operations, construction, manufacturing, or trades
Bookkeeping or QuickBooks experience
Experience coordinating projects or schedules
Strong problem-solving ability
