Role Overview: We are seeking an organized, reliable, and compassionate Administrative Assistant to join our mobile dental clinic team. In this role, you will manage patient charts and help set up our mobile clinic on-site, ensuring each day's operations run smoothly. This is a part-time position (2–3 days per week) ideal for someone who enjoys working with people, has strong customer-service skills, and is comfortable travelling locally. Dental office experience is an asset, but not required.
Key Responsibilities:
- Patient Data Management: Coordinate and manage the patient data – confirm appointments, handle inquiries, patient charts, update medical history and maintain an organized schedule using the dental software.
- Patient Communication: Serve as a friendly point of contact for patients via phone and email – provide appointment reminders, answer questions, and ensure a positive customer service experience at all times. Communication is the most important part of a dental office role, and patients should be able to "hear your smile" and feel your positive energy.
- Mobile Clinic Setup: Assist in setting up and taking down the mobile clinic equipment at the location. Ensure that all necessary materials (portable chair, instruments, sanitation/sterilization of supplies and equipment) are prepared and organized for each visit.
- Administrative Support: Maintain patient records and consent forms, manage day-of logistics, and support the hygienist with any administrative tasks to keep the clinic day running on schedule.
- On-site Assistance: Greet patients upon arrival at the mobile clinic, help them with intake forms if needed, and liaise with the dental hygienist to facilitate efficient patient flow.
Qualifications & Requirements:
- Experience: 1+ year of experience in customer service or administrative roles. Proficiency with appointment scheduling software or calendar management is required. (Experience in a dental office or healthcare setting is a strong plus.)
- Communication: Fluent English communication skills – both spoken and written. Able to communicate clearly, professionally, and empathetically with patients of all ages.
- Organizational Skills: Exceptional organization and time-management abilities to juggle schedules and multitask in a dynamic, mobile environment. dental assistant skills, organizational skills ensure the office operates smoothly and according to schedule.
- Attention to Detail: Precision in record-keeping and scheduling is essential – a detail-oriented approach prevents errors and ensures patient comfort and safety.
- Reliability: Dependable and punctual. Able to proactively problem-solve and adapt if there are last-minute schedule changes or logistical issues. In a mobile setting, the ability to stay calm and adapt to a constantly changing environment is required.
- Transportation: Valid driver's license and reliable vehicle is mandatory. Must be willing to travel o locations around Langley and Surrey (mileage reimbursement available).
- Physical Ability: Comfortable with light physical activity – e.g., helping to lift or move portable dental equipment during setup and tear down.
- Education: High school diploma or higher. Any certification in office administration or familiarity with dental terminology is an asset (but not required).
