Overview
We are seeking a highly organized and detail-oriented Enhancement Logistics Coordinator to join our team. The Enhancement Logistics Coordinator (ELC) manages intake and initial processing of all out-of scope (OOS) project requests from the CASE customer network. The ELC interprets, clarifies, and formats the Scope of Work (SOW) for clarity and completeness, solicits competitive proposals from local service providers, enforces a 48-hour proposal turnaround, and prepares completed proposals for handoff to the Enhancement Coordinator.
Enhancement Proposal & Out-of-Scope Work Management
- Receive and log all incoming out-of-scope project requests from customers and internal channels.
- Contact customers to request missing information or clarify site-specific details.
- Rewrite or reformat SOWs to ensure vendors can clearly understand and price the work.
- Identify appropriate local service providers based on geography, capability, and scope requirements.
- Dispatch Statements of Work (SOWs) to vendors and communicate submission timelines, expectations, and requirements.
- Enforce a 48-hour proposal turnaround and follow up with vendors to ensure timely responses.
- Collect and organize vendor proposals, verifying pricing accuracy, scope alignment, and project timelines.
- Ensure proposals meet client formatting requirements, communication standards, and approval of workflows.
- Validate labor assumptions, material costs, subcontractor bids, and margin targets to support accurate and profitable pricing.
- Prepare proposal packages for the Enhancement Coordinator and highlight any risks, concerns, or scope issues.
- Track vendor responsiveness and escalate recurring performance or communication issues.
- Maintain accurate intake, proposal tracking, and communication records within CASE systems.
- Partner with operations leadership to resolve pricing disputes, scope of work clarifications, and urgent proposal escalations.
Dashboards & KPI Oversight
- Percentage of SOWs clarified within SLA.
- Vendor proposal turnaround within 48 hours.
- Number of proposals dispatched per week.
- Time from intake to proposal handoff.
- Vendor responsiveness and proposal quality.
- Identify trends, service gaps, recurring issues, and opportunities for improvement.
- Take proactive action when results fall below performance targets, including process adjustments, training, and escalation as needed.
Technology & Process Expertise
- Utilize CASE technology platforms daily, including Salesforce, CASE App, NetSuite, and client systems (Service Channel, Corrigo, etc.).
- Serve as a subject matter expert (SME) in CASE operational workflows, proposal tools, and client process requirements.
- Identify process inefficiencies and recommend improvements to enhance quality, speed, and operational scalability.
- Maintain strong documentation practices to ensure workflows are repeatable and consistent across the organization.
- Proficient with Microsoft Office and CRM/work order platforms (Salesforce, Service Channel, Corrigo, etc.).
Required Education and Experience
- High school diploma or equivalent required; Associate degree preferred.
- 2+ years' experience in dispatching, procurement coordination, vendor management, or similar role.
- Experience in facilities maintenance, landscaping, or construction services preferred.
- Strong written and verbal communication skills with the ability to coordinate effectively with vendors and customers.
- Ability to manage multiple requests and deadlines in a fast-paced environment.
- Experience sourcing vendors, reviewing proposals, and evaluating contractor pricing structures.
- Strong understanding of profitability, margin, and market-based pricing.
- Analytical, process-driven, and highly organized.
- Strong attention to detail with the ability to clearly document scopes of work.
- Solid time management, problem-solving, and judgment when handling issues or escalating concerns.
Work Environment
This job operates in a remote office setting. This role uses standard office equipment such as computers, phones, photocopiers/printers and filing cabinets.
Position Type / Expected Hours of Work
This is a full-time, salaried position working 40+ hours per week, Monday through Friday. During peak operational periods, including weather events and seasonal demand spikes, extended hours may be required including nights, weekends, and holidays.
Travel
This role does not require frequent travel. Occasional travel to company headquarters in North Attleboro, MA or other regional meetings/training events may occur.
