We're seeking a highly organized and detail-oriented Talent Acquisition Coordinator to be the operational backbone of our Talent Acquisition team, which focuses on both high-volume recruitment and corporate hiring. In this role, you will be responsible for drafting offer letters, updating systems, providing reporting, and identifying opportunities to streamline processes and implement automation. You'll play a critical role in ensuring the Talent Acquisition team follows a consistent, end-to-end process. As a flexible and proactive team player, you'll also have the chance to engage in various projects, gaining exposure to various aspects of the HR function. The ideal candidate will have a strong service orientation, exceptional attention to detail, and advanced Excel skills.
What will you be doing?
- Prepare job offer letters and draft onboarding emails to ensure seamless communication with candidates.
- Conduct background checks and generate necessary employment documentation, including job verification letters.
- Manage offer status updates to keep candidates and internal stakeholders informed throughout the hiring process.
- Process new hire paperwork, changes, and terminations in compliance with company policies and regulations.
- Contribute to the documentation and updating of processes and procedures to streamline operations.
- Provide HR support across various functions, including employee programs, data tracking, project assistance, and the annual performance appraisal process.
- Ensure all confidential employee files are maintained accurately and in compliance with applicable laws, corporate policies, and audit requirements.
- Liaise with Talent Acquisition and Payroll teams to ensure accurate employee data upon hire and throughout the payroll process.
- Assist in organizing and supporting employee events and programs, including internal/external job fairs, open houses, and community recruiting events.
- Maintain and update job postings, track metrics, and refresh content as needed.
- Oversee the integrity of data in the recruiting database and applicant tracking system, providing ad hoc recruiting reports as required.
- Create and manage dashboards, databases, and reports to provide insights into workforce metrics, aiding decision-making and planning.
- Track and report on market trends and recruitment data, offering insights into the effectiveness of current strategies and how the team is performing in comparison to industry standards.
What experience do you have?
- Post-secondary degree, diploma, or certificate in Human Resources preferred.
- Strong Excel skills and intermediate to advanced proficiency in MS Office.
- 1-2 years of experience in a similar role, with a focus on Human Resources & Analytics as a strong asset.
- Excellent communication and interpersonal skills, with a positive, supportive attitude and a genuine desire to assist employees.
- Strong time management and organizational skills, with the ability to prioritize and multitask in a fast-paced, deadline-driven environment.
- Self-starter with a keen interest in streamlining and automating processes, and a willingness to learn.
- Exceptional attention to detail and a commitment to accuracy.
- Demonstrated professionalism and the ability to handle confidential information with discretion.
- Willingness to take on a broad range of administrative responsibilities.
- Understanding of HR processes, including payroll, benefits, and talent management.
- Bilingual proficiency in French is an asset

$50,000.00 - $60,000.00 CAD (includes base salary only)
