Position Overview
The Accounts Payable Specialist plays a key role in managing vendor transactions, maintaining accurate financial records, and supporting the Company’s financial operations. This position includes team leadership responsibilities and oversight of vendor setup, invoice processing, utility payments, expense claims, credit card reconciliations, and vendor payment runs. The ideal candidate demonstrates strong attention to detail, proficiency in accounting systems, and solid experience in accounts payable.
Key Responsibilities
1. Accounts Payable
- Provide team leadership, guidance, and mentorship
- Set up new vendors
- Process and record invoices accurately
- Monitor outstanding accounts and follow up on overdue balances
- Reconcile vendor statements and ensure all invoices are received
- Respond to vendor inquiries
- Prepare aging reports and coordinate vendor payment runs
2. Financial Records
- Maintain accurate general ledger entries
- Assist with month-end and year-end closing processes
- Record journal entries and necessary adjustments
3. Financial Reporting & Compliance
- Generate expense summaries
- Ensure compliance with tax regulations and internal financial policies
- Support audits by preparing documentation and responding to inquiries
4. Other Duties
- Assist property managers with financial inquiries and reporting
- Maintain organized financial records and documentation
- Perform other related duties as assigned
Qualifications & Skills
- Diploma or degree in Accounting, Finance, or a related field
- Minimum 2 years of accounts payable experience, preferably in property management or real estate
- Proficiency in accounting software (e.g., QuickBooks, Yardi, MRI, or similar)
- Strong knowledge of Microsoft Excel and Office Suite
- Understanding of accounting standards and financial regulations
- Strong interpersonal skills with the ability to mentor and guide a team
- High attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to work both independently and collaboratively in a fast-paced environment
- Strong communication skills
- Proactive, solution-oriented mindset with a focus on process improvement
Pay: $50,000.00-$60,000.00 per year
