SCOPE
Reporting to the Department Administrator, Department of Political Science, the incumbent provides professional, administrative and logistical support to the undergraduate and graduate programs in the area of internship placement by seeking internship opportunities and ensuring the placement of students in internship positions. Additionally, the incumbent provides academic advising to Political Science graduate students on their degree requirements to help them make informed decisions on course selection, course load, etc. The incumbent anticipates program requirements problems and issues that students may encounter and advises them on the correct course of action to in order to graduate.
PRIMARY RESPONSIBILITIES
• Seek placement of students for internships with the public and private sector. Includes seeking internship opportunities for students and meeting with students in order to find a placement match.
• Develop, coordinate, and deliver student workshops on program requirements, CV preparation, job search skills, interviewing, and interpersonal skills in partnership with GradProSkills.
• Respond to both internal and external enquiries about the undergraduate and graduate internship programs.
• Advise Political Science graduate students concerning course selection for program requirements. Answers student inquiries in person (drop-in and by appointment), by email, and by phone. Liaises with representatives in the School of Graduate Studies and the Faculty of Arts and Science Office of the Dean on various aspects of student advising and recruitment. Liaises with the Political Science Program Assistant concerning graduate advising issues.
• Screen students for internships.
• Maintain cordial relations with the many public, para-public and industry offices for internship placements; has regularly scheduled on-site visits with employers to ensure quality of work by the students. Devises strategies for feedback from hiring managers to assist the identification of areas for program enhancement.
• Maintain regular contact with students during their internship placements to ensure smooth working experience. Meets at least once with students during their internship placement.
• Coordinate and maintain an accurate and up-to-date registry of student placements, names of contacts in professional sites of internships as well as an alumni database. Occasional meetings with alumni and employers to improve relationships in preparation for future job placement and collaboration.
• Maintain an employer database and database tracking placement of students.
• Devise strategies to expand the internship program at both the graduate and undergraduate levels.
• Devise strategies and promotional projects and events that will promote the program, in consultation with the Undergraduate or Graduate Program Directors.
• Maintain files for graduate student advising for future follow-up. Maintain files for MPPPA internship option and internship course (POLI 397) students.
QUALIFICATIONS
• Bachelor’s degree in Public Policy and Public Administration or in a field related to the primary responsibilities and two to four years of related experience.
• A minimum of two years of previous experience in the placement of internship and co-op students with the federal, provincial, municipal government as well as private industry and non-governmental organizations.
• Good knowledge (intermediate level) of Word (able to format letters, lists, and contracts, and do mail merges), Excel (able to do mathematical and financial calculations), and Access (able to join tables and run queries). Previous experience using Outlook and the Internet.
• Knowledge of and experience with University policies and procedures.
• Good knowledge (Level 4) of spoken and written English and French.
• Accurate, attentive to details, and having good judgment.
• Ability to work under pressure and meet deadlines.
• Ability to work with minimal supervision and as part of a team.
• Ability to work outside normal hours when required.
• Familiarity with SIS and SAP is an asset.
