Job Summary:
We are currently seeking an Executive Assistant to provide maternity leave coverage. This is a 1-year contract position.
Reporting to and working closely with the President, SigNature Communities and Neighbourhood Better Living, this role is responsible for a range of responsibilities aimed at ensuring the smooth operation and efficient execution of our daily operations. This role appeals to a strong multi-tasker with a high attention to detail and strong service orientation who seeks to improve every day not only for their own role but also for everyone else around them.
Location: 45 Rodinea Rd, Suite B, Maple, ON L6A 1R3
Work Hours: 8 am- 5 Pm
Annual salary: $70,000- $80,000 (Based on qualifications, experience and relevant skills)
Essential Duties & Responsibilities:
- Directly supporting the President, SigNature Communities and Neighbourhood Better Living, completing administrative services as required.
- Attend internal management meetings including preparation of agendas and meeting minutes, action items for follow-up, etc. as required
- Organize internal and external meetings and events as requested by the SigNature VP, including reservations, catering, memorabilia, etc.
- Provided administrative support for ongoing real estate development projects, including tracking contractual deadlines with trades, updating project documentation, and liaising with project team members and external stakeholders as required.
- Support market research activities including identification of opportunities, competitor monitoring, materials and collateral development in partnership with external third party vendors and providers.
- As required, assisting the Operations team in responding to client, partner and external stakeholder (e.g. Tarion warranty, legal, etc.) inquiries and/or questions.
- Assisting with various administrative tasks, such as expense processing, organization of presentations and business development materials.
- Event planning and organization, including business development (broker events, product launches, charitable events), staff functions and other business-related activities.
- Prepare and collected due diligence documentation required by investors, brokers, government officials and agencies or other external parties and/or follow-up on outstanding documentation, as required.
- Maintain an organized filing system of paper and electronic documents, project files and other required documents.
Requirements:
- Post-Secondary Education – Diploma or Degree in Business, Commerce, Accounting, Finance or other related discipline is an asset
- Prior experience working in land or residential development in a supporting role
- Organized and outgoing with a strong, “can do” attitude regardless of the task or need.
- Advanced skills in Microsoft Word, Excel and PowerPoint.
- Proficient in the English language (written and oral) with strong inter-personal and communication skills
- Strong planning and organizational skills with the ability to multi-task and prioritize
- Ability to meet and adhere to deadlines and work under strict time constraints
- Be self-motivated and driven
- Maintain a strong bias to supporting a tight-knit, team environment
