Maxxlife Immigration Services Inc. is seeking a friendly, organized, and professional Receptionist to join our team. The Receptionist serves as the first point of contact for clients and visitors, providing exceptional customer service while ensuring the smooth operation of the front office. The successful candidate will be responsible for managing appointments, answering phone calls and emails, maintaining client records, processing administrative tasks, and supporting Immigration Consultants and Case Workers with day-to-day office operations. The ideal candidate will possess excellent communication, organizational, and multitasking skills, maintain strict confidentiality, and demonstrate a professional and client-focused approach in a fast-paced immigration consulting environment.
Responsibilities
- Welcome and greet clients, visitors, and guests in a professional and courteous manner, ensuring a positive first impression of the office.
- Answer incoming telephone calls, emails, and client inquiries, and direct requests to the appropriate Immigration Consultant or staff member.
- Schedule, confirm, and manage client appointments, consultations, and meetings while maintaining accurate office calendars.
- Assist with opening, organizing, maintaining, and updating client files, including scanning, printing, photocopying, and filing immigration documents.
- Provide administrative support to Immigration Consultants and Case Workers by preparing correspondence, organizing documents, and completing general office tasks.
- Enter and maintain accurate client information in electronic databases and filing systems while ensuring confidentiality of personal information.
- Process client payments, issue receipts, maintain transaction records, and assist with basic office administration.
- Maintain a professional reception area, manage office supplies, and perform other clerical duties to support the efficient operation of the immigration consulting office.
Requirements
- Completion of secondary school is required; additional education in office administration, business administration, or a related field is an asset.
- Previous experience in a receptionist, administrative assistant, customer service, or office support role is preferred.
- Excellent verbal and written communication skills with the ability to interact professionally with clients and staff.
- Strong organizational skills with the ability to manage multiple tasks, prioritize workload, and meet deadlines.
- Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and basic computer applications.
- Experience with data entry, document management, filing systems, and maintaining confidential records.
- Strong attention to detail and accuracy when handling client information and documents.
- Ability to maintain confidentiality and professionalism while dealing with sensitive immigration-related information.

Pay: $18.00-$20.00 per hour
