As the HSSEQ Administrative Assistant, you will play an integral role in supporting the company's Health, Safety, Security, Environment, and Quality (HSSEQ) programs. Working closely with the HSSEQ Manager, you'll help ensure compliance programs run smoothly, documentation is maintained accurately, and employees have the resources and support they need to operate safely and efficiently. This is an excellent opportunity for a highly organized administrative professional who enjoys working with systems, coordinating multiple priorities, and contributing to a culture of continuous improvement.
What You'll Be Doing
As a key member of the HSSEQ team, your responsibilities will include:
Administrative Support
- Provide day-to-day administrative support to the HSSEQ Manager.
- Prepare reports, presentations, and other documentation.
- Enter, maintain, and update information within company systems and databases.
- Track action items arising from meetings, audits, inspections, and compliance activities, ensuring timely follow-up.
Health & Safety Support
- Coordinate Occupational Health & Safety Committee meetings, including scheduling, agenda distribution, minute taking, and record maintenance.
- Maintain documentation related to workplace inspections, incident reporting, corrective actions, and employee training.
- Coordinate fire drills and emergency preparedness activities.
- Monitor inventories of health and safety supplies and arrange replenishment as required.
- Assist with onboarding documentation and health and safety orientation for new employees.
Compliance Support
- Maintain records for regulatory and industry compliance programs, including Controlled Goods, Air Cargo Security, Partners in Protection, and other company certifications.
- Prepare documentation required for audits, inspections, and client compliance requests.
- Assist with maintaining employee training records and compliance tracking.
- Coordinate registrations for compliance-related training and maintain associated records.
Quality Management Support
- Maintain controlled documentation within the company's Quality Management System.
- Organize and distribute quality-related documentation.
- Compile quality metrics, reports, and key performance indicators.
- Support internal and external audits by gathering and organizing required documentation.
- Perform other administrative and operational duties as required.
What You'll Bring
The successful candidate is a detail-oriented professional who enjoys creating structure, maintaining accurate records, and supporting operational excellence.
- Experience in an administrative support role, preferably within health and safety, quality assurance, logistics, transportation, industrial, or other regulated environments.
- A diploma or certificate in Office Administration, Business Administration, Occupational Health & Safety, or a related field would be considered an asset.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and a commitment to maintaining accurate documentation.
- Excellent written and verbal communication skills.
- Strong computer proficiency, including Microsoft Office (Excel, Word, Outlook) and the ability to learn internal systems quickly.
- The ability to work independently while collaborating effectively across departments.
- A proactive mindset with a strong commitment to confidentiality and continuous improvement.
Experience supporting compliance programs, quality management systems, or occupational health and safety initiatives would be considered a strong asset.
